The current situation and guidance is evolving, so we will adapt our approach, measures and policies, as required.. Managing your meetings safely Version 2 (21 August 2020) Opening, prices and cancellations Our meeting rooms are now open and ready for bookings. Until further notice we will amend our cancellation policy, to only charge where cancellations have been made within 48 hours of the meeting start time: 48 hours’ (2 working days) notice - 50% 50% room charges payable 24 hours’ (1 working day) notice or less - 100% room charges payable Capacity We have made maximum capacity adjustments to allow for at least two metres squared per person. The maximum capacity can be achieved in Thames and Cherwell, when in theatre layout. Other layouts will reduce capacity, please speak to the team to discuss your requirements. Room Maximum capacity Thames 30 people Cherwell 18 people Ock 6 people Evenlode 8 people Shillbrook & Winterbrook 3 people Arriving at Milton Park Innovation Centre All visitors must be pre-booked, so confirmed attendee lists will be required at least 24 hours before the meeting/ event. As always, there is limited visitor parking at the front of the building so please use the overflow carpark or sustainable travel (bike or walking) where possible. The main doors to the building are the only current entrance. Please report to reception which has been fitted with a screen and we will sign you in with the pre-booked information that has been supplied. Once you are signed in, please make your way through to your meeting space. We have installed a foot pedal hand sanitisers, immediately inside the main doors, you are invited to use these. Visitor information will be sent to the meeting/ event organiser in advance to share with attendees this includes emergency procedures. Please adhere to the following throughout your time in the building: • Allow time for queuing if it is a busy period • Pay attention to the signage • Adhere to social distancing guidelines • Do not stay in the reception area longer than required.

Opening, prices and cancellationsOur meeting rooms are now open and ready for bookings.

Hygiene measuresFobs

You will be handed a fob to provide access to the room you have hired. This fob will be sanitised before and after your use.

Cleaning

The cleaning of Milton Park Innovation Centre has always been a priority and of a high standard. We have continued cleaning throughout most of lockdown albeit at a lower frequency and focusing on areas of regular use. As we start welcoming visitors back to the meeting rooms of the Innovation Centre, the cleaning regime will increase especially before and after meetings and with particular attention to touch points.

Staff

Our team have been fully briefed to not attend site or work if they have or any of their household shown any symptoms of COVID-19. They have been supplied with disposable gloves, face masks and antibacterial wipes for their own safety and yours. They will wear the PPE as required and where requested by our clients.

Hygiene stations

We have set up various hygiene stations throughout the Centre and meetings rooms to ‘catch it, kill it, bin it’ you are invited to use these are regularly as you wish.

Air quality

We have adjusted the system to stop recirculation and utilise maximum fresh air.

Your meeting / eventWe endeavour to provide the same high standard of service and facilities we always have.

Before you arrive, we will set your meeting space in a way to minimise any cross contamination with allowance for social distancing. This will include setting each workstation with a pad, pen, glass, mug, teaspoon and biscuits.

The refreshment machines will be available to use, but we do ask that you wash or sanitise your hands before and after using the machines. Sanitiser will be available in each of the rooms and the reception staff will frequently wipe down the buttons with antibacterial wipes.

The toilets are located in the main reception lobby. The toilets themselves are limited to two users at any one time and availability.

Catering and Business LoungeThe Business Lounge and corporate catering facility is currently close, while we move to a new provider.

In the meantime, we are happy for you to bring your own food or arrange catering independently.

As soon as our new provider is operating, we will be in touch with our new exciting menu.

Leaving Milton Park Innovation CentrePlease ensure you have told reception when you are leaving your room/meeting. Then exit through one of the side doors to the building, clearly marked ‘Exit Only’.

Suspected or confirmed COVID-19 case procedureWe ask that everyone takes responsibility for monitoring their own health. If you or any of your attendees feel unwell or have been in contact with anyone unwell, please do not attend the meeting/event.

If an attendee subsequently falls unwell, please call the team on

01235 854000 and we can contact the other organisers or attendees to make them aware. We will arrange a deep clean of the spaces used by the individual and make changes to our staffing if they are required to self-isolate.
