CASE STUDY

Tushar is a successful entrepreneur in his early thirties, running a trading business in

computer hardware and networking products and services and is based at Pune. Over the

years, by sheer hard work and persistence he has a good base of clients in the state.

Recently, he had attended a seminar on management tools and techniques in which one of

the sessions was on time management and the importance of a “TO DO” list.

Tushar decides one day to start making a “TO DO” list. After dinner, he sits down to

make a list. He has to go to Mumbai tomorrow with his SUV, as he has to buy certain

components for an important client. He has go himself as getting them by courier /

transport would take time and he has to deliver the same within the next few days – or

else he may lose the client in the future and also may have to pay penalty for late

delivery. He also has to meet 2 clients in Mumbai.

He also has an appointment with his doctor for a checkup in the evening, which he does

every 6 months for his entire family. His anti-virus software license on his laptop and

computer systems has expired and must update it. He cannot take a risk due to the threat

of virus.

He is an office bearer of the local traders association. The local traders association has

also called a meeting in the late afternoon, where he would get some important contacts

and also know some aspects of the changes in the sales tax laws – as there is a talk

arranged by the traders body. He reckons that he can go to Mumbai early in the morning

and come back by afternoon.

During the end of the day, he has to send some invoices to clients for services given in

the last month. The invoices are already late.

Tushar sits down and makes his “TO DO” list

As he is making his list, he gets a call from his brother-in-law. On hearing that he is

going to Mumbai, his brother-in-law requests Tushar to get a component for his new

LCD television, which is not currently available in Pune. Tushar makes a mental note to

do the same and assures his brother-in-law he would get the component. Happy with his

“TO DO” list, Tushar decides to sleep and wake up early and start practicing the

techniques of time management he has learnt in the seminar.

Tushar wakes up early in the morning at 5.00 a.m. and starts his laptop to check the

mails. One of the mails is from his anti-virus company offering online upgradation at a

discount. He clicks on the link and starts the process. The system needs payment by

credit card, and suddenly he can’t find his credit card. After searching for about 15-20

minutes – he realizes that he has forgotten the credit card in the office. He aborts the

upgradation process and makes a mental note to call the local dealer to come and upgrade

his laptop and computer systems. He notices some mails from his friends and as he is

reading them decides to respond to some of them. By the time he is through the time is

6.30 a.m. Tushar gets worried and rushes to get ready.

As he is taking a bath, his wife reminds him that they have to go to their kid’s school to

meet the class-teacher and principal for a selection of their kid for national talent

competition. Tushar has completely forgotten about this and requests his wife to take the

other car they have and go to school. Tushar gets ready and starts his SUV and realizes

there is no fuel. The SUV has just come back from servicing and the driver had not filled

fuel as Tushar had forgotten to give him money. He picks an empty can from the SUV,

takes an autorickshaw and goes to the nearest petrol pump to get 5 litres of fuel. By the

time he comes back it is 8.00 a.m. He takes the SUV again to the pump, fills fuel and

starts towards Mumbai.

Near Lonavala, he sees a long line and remembers that there was a newspaper report

about road repairs leading to traffic jams. He manages to reach Mumbai by 11.30 a.m. He

buys his components and enquires for the LCD component his brother-in-law has asked.

He is told that it is available in the next market about 20kms away. He goes to that

market – which takes an hour to reach in the Mumbai traffic and finally buys the

component. It is already 2.30 p.m. He realizes that there is no way he can go for the local

traders association meeting. He also forgot about his clients meeting, but manages to

meet one client – which luckily was in the same locality.

Tushar is now hungry and go to a nearby hotel. As he is ordering for the food, suddenly

he spots a close college friend – he has not met for years. The friend invites him to his

office nearby and after sitting in his office for a few minutes go to nice hotel for food.

The order for good food and beer and Old memories are discussed. By the time they

finish – it is 5.30 p.m. Now there is no way the doctor’s appointment can be made.

Tushar starts back – after beer he is lethargic, so drives slowly and reaches Pune by 9.30

p.m. after negotiating the heavy Mumbai traffic and the rush on the highway.

Looking at the day – Tushar loses his confidence on the time management techniques and

feels it is all bullshit.

Role play Role 1 – you play the role of a supervisor, who has received a information about a major

compliant from a customer. The complaint relates to the BOM being incomplete in some

subassemblies and in some cases wrong components have been dispatched. You go to the

assembly area – where you approach three engineers who were present when the

dispatch happened. You are very angry as this is the first time a compliant has been

received against your department in the last one-year.

Role 2 – you play the role of a engineer in the assembly section responsible for packing.

The incident had happened at the end of the first shift and starting of the second shift.

When the incident happened, you were not well and had applied for leave, which was not

sanctioned due to delivery deadline pressures. When the packing had happened – you

were tired after working the whole day and were feeling feverish. You had gone to the

company doctor for some medicine, and on returning handed over the BOM without

physically verifying the contents, to the next engineer in the second shift, but you had

assumed the workers had done the right job. That day, 2 of the normal workers were on

leave and some contract workers were present for this work. You refuse to take any

blame for whatever happened and strongly defend your position, making the supervisor

even angrier.

Role 3 – you play the role of an engineer in the assembly section responsible for packing.

You were in the second shift and always scared of asking seniors any questions, as they

may get offended. The engineer in the first shift is 2 years senior to you. You simply

assumed that the BOM handed was checked as the crates were sealed and thus signed it.

Now that the supervisor is angry, you are about to cry and say sorry. The supervisor is in

no mood to listen – which makes you even more nervous. You now start to feel that you

could lose your job.

Role 4 – you play the role of an engineer in the assembly section, who was asked to come

for extra duty due to the delivery pressures and were present on the shop-floor when

incident had happened, but were not directly involved. You believe in finding a solution

rather than trying to complain and would like to resolve the issue.

Your boss asks you to ship a package, without waterproof outer plastic because it is out

of stock. The boss’s logic is that it is December, so there is no chance of rain and there

should not be any problem. The customer also had called twice for delivery.

What would you do?

It is the quarter end month and instead of the normal reorder quantity – your supplier is

pressuring you to accept double the quantity. His logic is that from experience there is

always a need for more stock at quarter end. Also with the quality standards made

stricter, there is a chance of higher rejection. The supplier has been with the company for

suppliers make the components. You have joined the company only two years back.

is busy. You tell the secretary about the appointment. The secretary informs the boss –

who asks you to wait for 15 minutes. You wait for 15 minutes, but there is no sign. What

You are in the middle of some very important work, which your boss has given you and

asked you to finish it in the next one hour – it is critical compilation that is urgent. As you

are doing this work a senior manager from another department comes to you and request

you for some data – which he needs urgently. This data would need about 40 – 45

minutes to give. What would you do?

You are responsible for sending some data to another department every month by the 25th

of each month and this becomes the base for MIS sent to the top management. The data

that you sent in turn comes from various field offices – which you check, put into a proper

format and then send it. Last 2 months – because of some software problem, there is a

The manager in the receiving department is aware of the same, but is hell bent on raising
