Magazines• Magazines cannot be

checked out.• Issues for most of the

magazines are stored in the back of the library.

• Magazines do have sensors and will set off the alarm if a student tries to remove one from the building

Conference Rooms• Should be reserved, but

are available on a first come, first serve basis

• Write down their name & the length of time (2hr max) they want the room in the Study/Conference Room Schedule binder

• During your “rounds,” please check on the status of these rooms and help maintain a clean area

Loan PeriodsStudents:• A student may only have a total of 3 items out at one time

+ 1 reserve.• Books - maximum of 3 books at a length of two weeks

per item.• Videos - only 1 video may be checked out at a time for a

period of one week.• Renewals - a student may renew an item twice for a period

of one week for each renewal. Renewals may be done in person, over the phone or through the library’s website.

• Faculty/Staff:Books & Videos - maximum of 7 items at a length of twelve weeks per item.

Late, Replacement, & Service Fees• Late fee: $ .50 per day for books

and videos• Replacement fee: $ 50.00• Service fee: $ 20.00Replacement and Service fees are due if the item is lost;however, if the item isreturned, the replacement feeis waived, but the service fee isstill due.

Please ask a librarian for assistance when dealing with fines.

How Do I Print?• Printing is FREE• Students are limited to 25 pages per print

job• No pornography or offensive material

may be printed (if seen, please report to the nearest librarian)

• Print jobs may be picked up from the printer at the library front desk

• Special paper (i.e., resumes or transparencies) may not be used in ANY machine in the library (printer or copier)

• Library PC terminals have Microsoft viewers (not 2007 or 2010) which allow viewing of some documents from public folders but do not allow any editing. Students will have to go Computer Labs for editing documents.

• Library Macs have Microsoft Office and can edit and print documents.

Swipe to PrintSwipe System for Print Jobs

• Open the document to print• Click print• Enter JWU username, i.e. ncovone• Go to a printing station (student may

print in the library or the labs)• Swipe your JWU ID at the printer• Select the document to print• Touch the print button• Touch the EXIT button to logout

Print jobs will remain in the system for 2 hours.

PC Dummy Terminals• Floor computers are for internet searching and email only.

– Why? Because our computers are known as “dummy terminals” or diskless workstations. The computers are part of a larger network of computers—they are not like a single desktop workstation that you might find at home or in the computer lab.

– These computers do not provide hard disk or floppy disk space. This means that you will not be able to save anything on to these computers—even with a USB jump drive key.

– The computers do not have any Microsoft or other software applications other than viewers. Students must use the Computer Lab in room 106 of the Academic Building to do any word processing or to use any other software application.

• Do not try to connect your USB jump drive key. – Why? The computer terminals are not equipped to receive jump drive

keys. While you may see a USB connection, these are not for the keys!!

• If a jump drive key is connected, the computer will freeze up and not work. Do not pay your bills, shop, or provide other personal information when using these terminals.– Why? The computers are dummy terminals and do not function like a

single desktop workstation; information you enter has a greater chance of “being seen” by hackers or captured by identity thieves.

– Personal information could be stored on the server for a day or two.

Mac TerminalsThere are five Mac terminals on the main library floor. •They are loaded with several software programs, including but not limited to:

– Microsoft Office– Adobe Creative Suite– iWork– iLife– Web Browsers

•Users must log in to use the Mac terminals, and log out when finished. •USBs can be used with the Mac terminals; the USB drives are located in the back of the monitor.

How Do I Make Copies?• Copy cards are available

from the machine on the wall under the exit sign

• Only paper bills may be inserted to buy or add value to the copy cards

• First time card purchases will cost $ 1.00 with $. 50 on the card and $ .50 to purchase it

• Copies are $ .10 per page• Patrons should leave at least

$.10 on their copy card to avoid jamming the copy machine

Incident ReportsIncident reports can be written up for any number of policy violations. For example, an incident report will be written up for:• Unexcused absences (no call/no show) • Not following the Professional Dress Guidelines or wearing your uniform properly• Violating computer policy• Violating phone policy (i.e. talking/texting on cell phone during your shift)• Not performing job duties as assigned

This is not a complete list. You will be notified if an incident report is written up about you. If you accumulate several incident reports, they will be forwarded to the administration for possible disciplinary action—up to and including termination.

Rewards! • Just as inappropriate behavior is noted, we will also keep track of positive

behavior!

• Positive behavior includes:

– Good attendance; calling ahead if you are going to miss a shift or going to be late.

– Performing work duties as assigned.

– Wearing proper uniform or professional dress.

– Following computer, phone, and schedule change policies.

– Timecard addendum is filled out accurately.

– Generally following proper conduct for the library.

The library will have some parties for the work-studies throughout the school year.

Attendance & TardinessYour schedule is determined at thestart of every trimester. Any absences or tardiness must be

previously approved.

Unapproved absences and tardiness will be cause for a written incident report and disciplinary action.

Emergencies should be few and far between such as death of an immediate family member, physical inability, automobile accident, etc. (documents or proof may be required).

If you are unable to make it on time to work you must notify your immediate supervisor by calling the library.

You will only be able to make up hours for excused absences.

Uniform

If you choose to wear the Johnson & Wales uniform, it must be worn properly.

Proper uniform includes appropriate shoes, shirts, neckerchiefs, ties, slides, and skirt/slacks. These should be clean and pressed.

Do not mix dining room uniform pieces with culinary uniform pieces

Your appearance is a reflection of the University and should be professional at all times.

Wearing the uniform incorrectly will count as an incident.

Professional Dress-Males• Must have a tie,

tucked in shirt, and have name tag.

• Ties must be professional patterns

• No khaki pants (only navy, black, brown, or gray are acceptable)

• No polos or pullovers

• Clothing cannot be baggy

• No sneakers, sandals, or boots

• No hats or head coverings

• No unnaturally colored hair

• No facial jewelry or earrings

Professional Dress - Females• Long or short sleeve

blouse only; no spaghetti straps, halter tops, or plunging necklines

• No Capri pants or shorts (even “city shorts”)

• No khakis or jeans• No dresses• Clothing should not be

tight or baggy

• No open-toed shoes, sneakers, or flip-flops/sandals

• Jewelry should be small and tasteful

• No facial jewelry or multiple earrings

• No unnatural hair color• No hats or headbands• Make-up should not be

bright or flashy

Timecard AddendumsTimecards Addendums must be filled out

properly in order to receive payment. Must be completed in ink. Includes your supervisor’s initials on every

entry as they occur. Every entry must be rounded to the next

quarter interval; :00, :15, :30, :45. Total hours for each shift must be marked by

the quarter; i.e. if you worked 3 hours and 15 minutes, your total would be 3.25 hours. 3 hrs, 30 minutes = 3.5 hours. 3 hrs, 45 minutes = 3.75 hours.

Falsification of timecards is a serious offense; disciplinary action—up to and including termination—may be taken.

ConductAs this is a library, proper conduct

must be maintained at all times. There is to be no socializing at

the desk or out in the stacks. Voices should be kept low. There is to be no profanity or

vulgar language used. Patrons must be addressed

courteously. Schoolwork is not to be done on work

time (unless approved by a supervisor). No cell phone use, including texting. No computer use (see policy). Violation of the conduct policy will result

in a written incident report.

Computer / Front DeskComputer use at the desk is limited to library functions. That means you may not surf the internet unless you are using your dummy terminal privilege.

NOTHING is to be downloaded onto the library

computers. Inappropriate material should not be viewed or

printed from any school computers. If you have received permission to do your

homework from a supervisor you may also ask permission to use the Microsoft Office software on the circulation computer.

Using the computer for unapproved or non-work related reasons will result in a written incident report.

Phone EtiquetteThe Library phone should always be answered

professionally and courteously.

“Good Morning/Afternoon/Evening. Johnson & Wales

Library, (Your Name) speaking.”

After determining what the caller needs, ask them to

“Please hold,” place the caller on hold

and seek assistance.

If the library phone rings and the librarian is unavailable, you must answer the phone. Cellphones must be set to vibrate and placed in work-study cabinet.Work-study employees and patrons may not use library phones.

Service & Awareness

Service is our main priority here at the library. Patrons should be greeted with a smile and acknowledged as soon as they approach the counter. If you cannot provide assistance, please refer the patron to a reference librarian. Never send a patron away without an option. Always ask for a reference librarian’s assistance if the patron needs a journal article or has an in-depth reference question.

Your first duty is to the patron. However, once that duty is fulfilled, you should ask your supervisor for any other tasks or projects which may require your immediate attention. These may include but are not limited to:

• Re-shelving books• Wiping down monitors/ countertops • Pushing in chairs• Shelf-reading• Picking up books & magazines from around the library• Any other projects as assigned by the library staff

AM / PM DutiesThere are specific duties involvedwith the opening and closing of theLibrary. You are expected to know and

perform these duties if you are working on a corresponding shift.

Lists of these specific duties are posted on the workstudy wiki.

There are active and downtime duties that should be performed during every shift

Not completing shift duties and not checking with a librarian for additional duties before doing schoolwork will result in a written incident report

Shelving & Shelf Reading

Shelving and shelf reading are animportant part of your job Library books are cataloged and

shelved according to the Library of Congress Classification System

You are expected to complete a predetermined shelf reading list which must be initialed

We will provide you with Library of Congress Classification training

Privacy / Confidentiality

The records of the Universitystudents, faculty, and staff areconfidential You cannot take or give out

information found in our library records (this includes what people have checked out or their contact information)

Materials that leave the library must be checked out and cannot leave otherwise

You are trusted with privacy and confidentiality in this job and a breach of this trust will be cause for disciplinary action

Security Gate

Be polite If the alarm is activated,

please stop the patron and inquire if there is a video, magazine, or book from this or another facility in his/her possession

If problem, please seek the nearest librarian

Work-Study Space

All backpacks, cellular phones, purses, and other personal/school materials must be placed in the work-study cabinet before each scheduled shift.

Loitering

Friends and fellow students cannot hang out or talk with you while you are working. Students at the patron counter are to be helped, but as this is your work environment, you are supposed to be working - not socializing.

Break/Storage Room – Off Limits!

If, for any reason, you need water or anything else from the break/storage room, please ask your immediate supervisor.
