• Research and choose a venue; conduct a walk-through; negotiate the price

• Lock in the date; pay deposits

• Determine what services you’ll need (i.e., A/V, décor, catering, promotional items, photography, videographer,

graphic design, printing services, etc.); negotiate pricing and contract

• Establish an event budget

• Set realistic expectations of how many people you anticipate attending

• Set your ticket price and online registration dates (early bird and late, special incentives)

• Determine what the event looks like (what’s the flow and event agenda?)

• Create event collateral materials (flyers, rack cards, etc)

Month Two

• Develop sponsorship opportunities (monetary and in-kind)

• Start promoting the event (add it to your web site, in your e-newsletter, on social media)

• Create event pages on social media sites

• Start inviting people to attend and encourage sharing

• Set up promo codes and an affiliate program with special incentives

• Attend face-to-face networking events; seek out groups that reach your target audience (i.e., LinkedIn,

WHAT TO EXPECT

Late registrations!

ONCE THE EVENT IS OVER…

• Post event photos and tag individuals; encourage sharing

• Send a post-event press release out to local media or online PR search engines on event

results to boost SEO, or post it on your blog, social media and in e-newsletters

• Further cultivate relationships by staying in touch and thanking event attendees, speakers,

sponsors, vendors, etc. Inform them of what’s next for your business. If it’s an annual event,

incentivize them for signing up again early and securing their spot. Continue to be a trusted

resource and credible expert

SOME DO’S

• Encourage early registration with special incentives

• Collaborate with similar organizations and share your event

• Set up promo codes to track how attendees are hearing about it and affiliate links to

reward them

SOME DO’S

• Post your event on online calendars and PR search engines to boost SEO; send out

a press release to local media

• Network face-to-face

• Use social media to promote your event to the right target audience and be

consistent, but not pushy; create an event page on Facebook, Google+, etc. and

post updates and photos

• Look for in-kind sponsorship opportunities

• Communicate!

AND DEFINITE DONT’S

• Resort to daily deal sites like LivingSocial or Groupon to spread the word

• Deeply discount your event’s ticket price the week of the event

• Try to do it all alone! Events have a lot of moving parts. It’s best to delegate and focus on

what you do best
