Job Title: Admin Support Clerk

Salary: £ 16200-17000 pro-rated

Hours: 15 -20 hours per week

Department: Healthcare Centre

Location/Base: HMP Leyhill, Wotton-under-Edge, Gloucestershire, GL12 8BT

SECTION 2 – JOB SUMMARY

The post holder will contribute to the smooth running of the Healthcare Centre at HMP Leyhill by providing comprehensive administrative support to the Prisons Operations Manager, GPs and extended clinical team.

The post holder will liaise with a range of professionals, which will include GPs, nurses, discipline staff and practitioners from external agencies.

Experience of working within an office environment dealing with correspondence, faxing and photocopying Experience of keyboard skills with data entering experience Knowledge and experience of computer-based database systems Awareness of policies and procedures regarding Confidentiality and Data Protection and adherence to these with

regard to patient records and information requested over the telephone To have the ability to deal with patients and colleagues in a calm professional manner at all times

SECTION 5 – SKILLS REQUIRED

Ability to use initiative, within clear boundaries, seeking advice from more senior members of staff whenever necessary

Ability to prioritise and organise own work Ability to promote and support good working relationships across other areas of prison healthcare Good interpersonal and communication skills with the ability to liaise confidently and professionally over the

telephone and face to face with a variety of staff e.g. Nurses, GPs, discipline staff and practitioners from external agencies

Good understanding of IT programmes such as Microsoft Word and Excel and willingness to develop these skills with onsite training

Ability to work to deadlines e.g. ensuring statistical data is collected and submitted in a timely manner Effective team worker providing cover for colleagues in times of absence and annual leave and assisting with the

training of new team members Flexible and adaptable approach to work Willingness to undertake further training and development Attention to detail when updating electronic medical records on computer database Accurate transfer of information when taking messages

SECTION 6– MAIN DUTIES & RESPONSIBILITIES OF THE POST

To assist the Team Leader in the management of the clinical system To assist the Team Leader with monthly data collection and to present the results in the required format To manage the procurement process for clinical and non-clinical stock by using the online ordering system

(training for this will be provided) To scan medical paperwork onto the clinical system To set up and maintain clinics on the electronic appointment book To set up, monitor and manage waiting lists of the electronic clinic system To act upon electronic tasks as generated by other members of the multi-disciplinary team To run searches and audits on the clinical system and present results in an appropriate format To deal with telephone enquiries from health care professionals and external agencies in an efficient, confident

and polite manner adhering to local policies Ensure messages are taken clearly and concisely and passed to the relevant member of staff To support other members of the admin team if workloads increase To be an effective team member, covering work as necessary of staff who are on leave/sickness To provide cover for Reception when necessary To take and type minutes of departmental meetings To understand and maintain a high standard of confidentiality adhering to the local Data Protection policy. To contribute to working in a paper-light practice To be fully aware of the implications of the Health and Safety at Work Act and associated policies Such other duties as appropriate to the needs of the department, as agreed between the post holder and the
