Getting started in Zoom webinar for attendees Zoom webinar is our current choice of platform for webinars due to its accessibility (ie. it’s free for us). Many of you will be familiar with the layout of Zoom but there are a few extra features that we will be utilising during our sessions.

Please read through the Webinar Etiquette tips before starting a session to minimise sound interference and delays.

The Zoom webinar interface The interface is much like a normal Zoom. The menu at the bottom of the Zoom main room includes options that allow you to:

1. Change the way you view your screen/videos of participants – gallery view or speaker view

2. Enter and exit full screen mode 3. Raise your hand to request permission

to speak 4. Send group messages 5. Send private text messages

6. Leave the webinar 7. Chat 8. Share your screen 9. View the participant list and Raise

your hand option 10. Stop/start your video transmission and

access video settings 11. Mute/unmute your microphone and

access audio settings.

Screen view – gallery view and speaker view When you enter your webinar room, you may be able to see other participants who have joined the webinar (depends on the settings chosen). In Gallery view, the speaker’s window is highlighted in green (A, below). In the Speaker view, the speaker is expanded while attendees appear at the top in a horizontal row (B, below). You can toggle between the two options in the top right corner of your webinar room. Raise hand

If you have a question during the QA time, you can raise your hand and the moderator will be able to open up your audio/video for you to ask a question. Alternatively, the speaker may ask you to raise your hand to poll questions.

1. On the menu at the bottom, click Participants. 2. Inside the Participants panel, in the bottom-right corner, click Raise Hand (C, above). This

can be handy for various functions for the Host and Speakers.

Question and Answer session

During the presentation, you may have a question that you’d like to be answered ASAP. We prefer you to type your question in the QA box so it doesn’t get lost in the Chat Room chatter. This will be moderated by the Host so the speaker can answer appropriate questions. Attendees can also upvote and comment on the open questions too.

1. On the bottom menu, click Q&A. 2. Type your question into the open field 3. Moderator will be able to either select Answer live for the speaker to answer or dismiss the

question if it is inappropriate.

Group and private chat

During the presentation, audio/video will be turned off for all attendees. You can still communicate with everyone, the host, the speaker, etc (see below middle panel) via the chat room for any troubleshooting.

4. On the bottom menu, click Chat. 5. Click the drop down in the To: field to define your recipient.

Break out rooms Breakout rooms provide the opportunity for webinar participants to work in groups and have full audio, video and screen share capabilities. The Host creates the rooms and assigns attendees to them, but for the purposes of our OPUS webinars, we likely won’t be using these rooms!

1. When attendees are assigned to a breakout room, a pop-up message will be displayed (below). In the Breakout Rooms pop-up box, click Join.

2. Use the Share Screen, Chat, Mute/Unmute and Start/Stop video options as normal.

3. To invite the Host to your room, click Ask for Help. In the Ask for Help pop-up box, click Invite Host.

4. To leave the breakout room, click Leave Breakout Room on the bottom right in red text. In the Breakout Rooms pop-up box, click Return to Main Session.

Recording a webinar

As an attendee, you won’t need to record the session, the Host will be doing this for you and uploading the session onto the website (https://opus-tjr.org.au/resources/opus-cre-only/opus-webinars) for viewing afterwards. A copy of the questions will be made available to supplement the video.

Live Streaming a webinar on Youtube Live Broadcasting on YouTube Live can be great for certain occasions. It’s also useful if participants can’t access Zoom readily, as they can still participate through the Youtube comments function. There will be a 20 second delay in streaming due to buffering time.

At this stage, Michelle is still working on simultaneously recording the webinar and livestreaming on Youtube so please be patient!!
