Step 1: Target members

• What kind of industry officials would you like to target?

• Make – up of school?• Direction that school is headed• Who is in your area?• PTO representative

What Worked for HSI…

• Medical Professionals….• Medical Institutes (PIMA)• Support Groups• Awareness Organizations• T STEM Personnel • IHEs ( PVAMU)

Tips

• Ask for Office Managers, not the Doctors…• Be willing to leave messages• 1 Yes is worth 1000 Nos • Be prepared to give information about your

school• Be flexible – ask for the office to send anyone• Use your existing partnerships• Go out to their events with your students and

then ask for support

Step 2: Send out Notice

• Phone usually works best but also send written ( via email or snail mail)

Tips

• The potential member will usually request one method or another.

• Send a follow up reminder ( better safe than sorry)

Step 3: Event Day

• Breakfast is great!• They prefer to stop by on their way to work

than in the afternoon• Have MOU ready and in their folder that day!• Tour, presentation…• All administrative team should be present

Step 4: Follow up & Plan 1st Meeting

• Not too far in the future• Follow up with individuals who agreed• Send them an email and state that they have

accepted.• For individuals who did not agree, see if they

would like to be involved in another way (guest speakers, equipment donation, volunteer, etc.)

Tip:

• Send out agenda ASAP with reminder at least 1 week in advance

• Meetings only last an hour to 1.5 hours at most

• Have a sign in Sheet prepared• Give them a copy of the T STEM Blueprint

• Selecting a Chair• Advisory Board description

Who Should Be Present??

• Principal• Aps/ Deans• Counselors• PR person • Director of Special Programs ( maybe?)• Superintendent ( AAP)

Always Take Minutes

• Send out after the AB meeting is over.

• Resend with agenda for next meeting 1 week prior to meeting

• Helps to address foreseeable issues with advisory board; set guidelines

Foreseeable Issues

• Time commitment changes – some members are not as active ( procedure?)

• School members not as invested?• Absent AB members ( quorum?)• New elections (?)• Allowing board members to be stakeholders• Others?

Benefits• AB offers internships• AB assists with setting up and cleaning for

events ( WCC, Meet the faces of Healthcare Night, etc)

• Fundraising• Fieldtrips• Media and Press• AB represents the community
