There wasn't so much a theme to this year’s event, more a statement of intent, this was your conference and based on your feedback from previous years we wanted to deliver against these requests. With that in mind it was a bit of a mixed bag with the caveat that each session would give you food for thought and hopefully ideas to implement within the running of your business or to assist you professionally day to day. ESSA’s very own Chris Skeith chaired the day with members of the board taking it in turn to introduce a speaker. It really was an eclectic mix of topics covering such things as disaster recovery and how to survive or prepare for the possibility of losing your whole business to a fire to understanding the nuances of LinkedIn and how you can turn it into a money making tool for your business. The day also threw up a good mix of very personal and quite emotive topics to some broader strokes with regard to short term decisions you make within your business having a real impact on its long term success or failure. We also had a number of breaking news items including dates for next year, a new VAT guide and information regarding the newly formed Stand Builders Forum. More information to follow on all three subjects. Central to this year’s conference was the opportunity to network within the ESSA community, we provided this by the bucket load within the various lounges the Ricoh Arena provided and then continued into the evening with the conference dinner. The buzz around the networking areas was great to see and does go to show that aside from the educational content of the event, the ability to meet up with your industry peers to chew the fat is also something greatly valued. Finally, the ESSA team and the ESSA Board would like to extend a big thank you to all those that attended this year’s conference, the many speakers, our hosts at the Ricoh Arena and our sponsors. Transforming the ESSA golf day into an industry golf day “In the Rough”. The Board conducted a strategy review and re-validated the direction and focus of ESSA and ESSA was represented on the international stage when we attended the IFES International Conference in Moscow and the more recent EDPA Conference in Los Angeles. My term as chair concludes at the end of this year as I hand over to Nick Marshall and I’m pleased to report that the association is in a very good place thanks to the support and enthusiasm of the Board and the secretariat led by Chris Skeith.

ESSA Director

Marketing Week Live is the annual exhibition devoted tothe marketing industry, and this year ran on June 26 - 27.The whole exhibition included a number of show areasincluding The Live Marketing Show. The Live MarketingShow is the opportunity for live marketing services,suppliers and venues to exhibit to professional marketers.

FaceTime is the organisation devoted to promoting face toface marketing. Providing research, case studies andresources to help marketers, business owners and exhibitors

What quickly emerged was an idea that would explore thebenefits of face to face marketing by communicating throughall five senses and stimulating them individually,demonstrating how live marketing can reach customers andaudiences in ways that other media cannot.

Once the team was happy with the brief, dubbed 'The Powerof Live', it was passed to "the experts at ESSA" to implement.An ambitious project was conceived, to bring together alarge group of ESSA members to collaborate on the stand,each adding their own particular field of expertise to theeffort.

ESSA had been a long standing partner with the Event &Exhibiting Show (EES) and when this show was integratedinto the Live Marketing Show, the ESSA Board and CentaurManagement Team were keen to see this continue and grow.Now seemed the perfect time to integrate ESSA’s activitywith FaceTime, so Centaur Media's Paul MacDonald, EESShow Director Austen Hawkins, FaceTime Projects DirectorJim Curry, and ESSA’s John Robson & Chris Skeith were keento establish the opportunities and objectives.

4D Design & Display were first to join the project, creating acommanding design for the stand. With an agreed designand specification, the call could go out to other ESSAmembers inviting them to join the collaboration. 17 memberscame forward and the collaboration began with a scant sixweeks until the start of the Live Marketing Show.

Director of 4D Design, Suzanne Malhotra who co-ordinatedthe 17 teams building and installing the stand, described herexperience. “Working with so many companies was achallenge to start with but those who agreed to collaboratereally understood the brief and got what it was we weretrying to achieve. They were willing to be challenged andgave 100% commitment to the project with no question asto what they would get out of it".

2012 was certainly a year toremember, and I don’t just meanthe civic pride of the Jubilee,Olympic, and Paralympic Games.ESSA and its members havecertainly smashed some recordsthroughout the year. Increasedattendance at our signatureevents; the AGM in March, theG50+Conference in November,

and the first ever member collaboration where 17 companiescame together to create the show stopping feature ‘FaceTimethe Power of Live’ at Marketing Week Live in June.

Our goals of parity of voice arenow long established, and ourdrive to help grow the marketfor all our members is becomingrecognised via the ‘Use an ESSAMember’ campaign, with newcollateral being distributed inyour 2013 renewal packs.

Many members have been ableto input for the first time into avariety of new cross associationworking groups and technicalcommittees, and in Novemberwe launched the Stand BuildersForum, to enable us to representmember interests and help findmutually acceptable solutions tosome very difficult problems.

I’d like to thank you all for yourcontinued support, all themembers of the working groupsand the ESSA Board for their input, interaction and supportover the year, as well as the team here at ESSA HQ forenabling us to grow and develop within the backdrop of somevery tough economic times. I’m looking forward to workingwith you all next year so we can create some new personalbests, develop even more demand for your services, and helpyou all in your day to day business with our technical supportin what will no doubt be another challenging year in 2013.

Simply looking at numerical outcomes, the staff on theFaceTime stand swiped the badges of over 1200 attendees,and more than 400 of them also completed surveys which ispart of the latest piece of FaceTime research.

FaceTime carries out three or four research projects a year,previous ones have looked at how live events can changeminds, or how visitors to a show interact with the environment,based on eye-tracking technology. At Marketing Week Live,FaceTime carried out a survey to look at the efficiencies ofsales leads generated face-to-face at live events in comparisonto other marketing channels, using iPads provided by Aztec,and more than 400 questionnaires were completed. This will becombined with another research sample, and analysed.

“We have some preliminary results already, and these will bereleased once the analysis is complete, later on this year,”said Jim Curry. "The research will give the event a life beyondthe few days at the venue."

John Robson, Managing Director of Aztec Event Services, one ofthe teams collaborating on the stand summarised his thoughtson the event, the stand and the project as a whole.

“I stood in the middle of the stand during the show. Everywhereyou looked, there was a great piece of design and finished workfrom one of the collaborators, including ourselves. It shows thateven direct competitors can work together for the good of theindustry as a whole … It felt great to be taken out of my comfortzone and having to think as an exhibitor trying to promote livemarketing in general, as opposed to the specific services thatAztec offers. It was a reminder to me that we’re not just in thepresentation business but we are also in the live event business”.

The formal part of themeeting reported an associationin good health with a 92%member retention rate andmembership numbers up to 209.

One key aspect of the AGM isthe election and re-election of

members to the ESSA Board. This year the association electedPeter Bowen of Access Displays to the board for the first time,and Andrew Kennedy made a welcome return.

Following the business of the AGM, guests at the event listenedto speakers including Emma Wellman, Venue Services Manager,Olympia and Sustainability Advisor, EC&O Venues. Buz Rossfrom Whitwam demonstrated ESSA TV and highlighted thebenefits of web based video content. Lastly, the award-winningPaul MacDonald of Marketing Week Live, gave members anupdate on all that is happening in and around the LiveMarketing Show.

ESSA Director Chris Skeith commented: “I was delighted tosee so many members at this year's AGM and would like toextend a warm welcome to those elected or re-elected tothe ESSA Board. It was very satisfying to report that wewere able to deliver such a positive end of year performancereport to the AGM in the face of the current economicsituation".

19th July 2012Hellidon lakes

In the Rough, the EventsIndustry Golf Day tookplace on the 19th Julyand was once againheralded a great successby all participants, despiteunprecedented downpoursfor several days thatcontinued to threaten the

event up to 30 minutes before attendees tee’d off.Thankfully the day was completed without a singlerain shower of note.

Returning to the same course as last year, thosein the know came fully aware that the courseoffered little respite for the occasional golfer andplenty of challenges for even the seasoned golferwithin the field. 18 teams representing serviceproviders, organisers and venues (72 golfers intotal) left the club house to ponder and craft their way aroundthe course for several hours of a largely pleasant afternoon.Once all score cards had been handed in and refreshment was

firmly in the grips of every attendee, further light relief forall came in the shape of professional trick golfer DaveEdwards who wowed everybody and showed just how easythe game really is!

Following a three course dinner, attention turned to thepresentation of awards, speeches from various peopleincluding ESSA Chairman and Director of Aztec EventServices John Robson and a very entertaining look at theday’s events through the eyes of Dave Edwards whomanaged to capture and commentate on the day's morelight-hearted moments, nobody was off-limits!

This year’s event also saw a concerted effort to raiseawareness and money for two industry charities, HospitalityAction and Events for Namuwongo with £4,000 being raisedon the evening.

With such a successful event, our thoughts have alreadyturned to next year and we will be in touch with all partieswith regard to how we continue the momentum on anotherof our growing events.

2012 has seen ESSA continue to make great leaps andbounds within the international arena, taking fulladvantage of its membership of international associations.

Earlier in the year, our Chairman John Robson in trueJames Bond fashion infiltrated represented ESSA at theIFES Conference in Moscow and on the backdrop of somesubtle ESSA marketing was able to maintain our presenceand voice at such events.

More recently, Chris Skeith attended the EDPA Conferencefor the third time with the sole focus of promoting theUK events industry and ESSA members on an internationalstage.

What always comes across at these events is that theworld really does view UK suppliers as the best in theindustry.

More recently ESSA developed new links with ourequivalent in South Africa, EXSA. This mutual relationshipwill once again allow us to broaden our 'information pool'on international markets. Information that will be filtereddown to ESSA membership in due course. Likewise, if yourequire specific information or guidance on internationalmarkets, these new relationships will hopefully be veryfruitful in this respect too.

We (ESSA) have launched a forum specifically for membercompanies involved in the design and build of stands as a directresult of member feedback.

The Stand Builders Forum (SBF) had its inaugural meeting theevening before the G50+Conference, Ricoh Arena on WednesdayNovember 21.

The forum discussed its broad ambitions and developed a numberof priority objectives for its first six months.

These included the set-up of a new scheme to further differentiatethe safety and sustainability practices of ESSA members from othercontractors, bridging the gap between the robust sustainabilityand efficiency measures that members already adopt to remainprofitable and the language and terminology required to put thisacross effectively in pre-tender processes.

The forum also pledged to develop closer relationships withorganisers in order to communicate the value of their exhibitorsworking with ESSA members; aiming for more ESSA coverage inexhibitor manuals and in point of space sale discussions andpaperwork with exhibitors as they sign up for a show.

Luke Facey of Alfa Display and Design Ltd was the chair for themeeting, and was positive about its outcome.

“What ESSA stand builders have demonstrated today is a focus onimproving the already considerable service and quality they offerand a commitment to sharing information internally and externallyto help realise that goal,” he said.

Members will be updated on the outcomes and future plans of thisgroup as and when they take place.

This year saw ESSA ramp up its external communications withstrategically placed promotions at international and UK events, targeted end

user and organiser email communications and magazine advertising.

Couple of things to look out for in 2013...

?New websiteIt has served us valiantly for a number of years, but ultimatelyour needs change and you just drift apart. So, early 2013 willsee a facelift and a re-launch with greater member functionalitywith new sections for technical information, marketing supportand a more logical search functionality for those wanting tofind a supplier.

Basically, we have asked our friends at ASP to make findingwhat visitors to the site want to find, easier.

Vehicle IDIn our continued push for ESSA awareness within the eventworld and enabling you to further differentiate yourselvesfrom non-members we are continuing our initiative to provideyou with the simple things that collectively can make a bigimpact. Upon renewal in 2013, we will be supplying memberswith car/van interior and exterior stickers. Each member willbe supplied with one set and upon investigating the practicalityof these for your vehicles, more can be requested.

The use of such identifying marks are often under valued,but used in volume will really help in identifying a standard inthe industry and to help you guys identify the rest of theESSA community when out and about.

This year saw a great return for ESSA members on a) their efforts in a 12 month period in the event world and b) the time and effort you put into your entries for 2012. The high standard of entries this year was a key element of the judges feedback with every category presenting true excellence within each field of expertise.

However, on 6th July at The Artillery Gardens at the HAC thefollowing ESSA members were triumphant.

At a glance...Over 80% of respondents to this year's survey conveyed thatESSA membership had a measurable effect on their business inone of the following ways.

* Saving their business time and resource.* Saving their business money.* Helping them to grow their business.

There was a direct correlation between those that fell into this80% category and those making the most of as many memberbenefits, our technical resources and attending ESSA events.

This year's member research also indicated a very high successrate in members being able to attain the information they neededfrom us. Accessible information, guidance and advice is core toour service and something we focus on a lot and we will continueto do with the launch of our new website and new initiatives in2012.

It was also really encouraging to see that after all of our eventsin the past 12 months, the number of member companieswanting to attend next years events has grown to almost 70% ofmembership.

Now we could sit here and bask in the light of some greatfeedback from the member survey, but we won't. We'll celebratethe success our members have in the events world and hope weplayed are part in that. But the challenge lies in maintaining themomentum in the things we do well and doubling our efforts inthe areas that you have stressed need additional attention orinitiatives you have suggested and we look forward to tackling.
