Abstract Training activities are an integral part of the preparation of the SOCIABLE pilot sites, which is the subject of WP5 of the project. Indeed, the SOCIABLE training process is a very important task given that SOCIABLE platform cannot operate without the active and successful involvement of human operators from the pilot sites. This deliverable presents the training process followed in the different pilot sites, and the documentation that has been elaborated for the training seminars conducted. As illustrated in the document, the training emphasized mainly on medical experts and health professional, and to a lesser extend to people with other roles and responsibilities in the pilot operations (such as IT administrators). A variety of different materials and documentation were developed in order to support the training. However, the most significant part of the training was performed «on-the-job», which was essential in order to acquaint pilot participants with the practical aspects of the SOCIABLE ICT based approach to cognitive training and social activation of the elderly.

Executive Summary The main objective of the SOCIABLE project is to introduce and pilot a novel ICT based approach to the cognitive training and social activation of elderly individuals. The approach is being piloted with the participation of nearly 350 senior citizens in 7 different pilot sites (TRONDHEIM Kommune, Hygeia Hospital, Morgagni Pierantoni Hospital, Municipality of Forlì, Social Policy Center of the Municipality of Kifissia, Santa Lucia Foundation and PREVI S.L) from 4 European countries (Greece, Italy, Norway, Spain). The pilot operations of the project have a planned duration of 18 months, and involve elderly users and health professionals using the SOCIABLE platform in a realistic cognitive training context. The successful engagement of elderly and health professionals in the pilot operations, presupposes their acquaintance with the SOCIABLE ICT based approach to cognitive training, which includes their ability to use the SOCIABLE platform both over the surface table (for care centre pilots) and over the surface PCs (for in-home pilot use). As a result, health professionals engaging in the SOCIABLE pilots must be trained on the use of the SOCIABLE platform, but also on the overall philosophy of a SOCIABLE cognitive training programme, which typically comprises multiple play sessions using the SOCIABLE ICT platform. In addition to the effective engagement of health professionals, successful pilot operations hinge on the participation of other stakeholders (such as IT administrators at the various pilot sites), which must therefore be trained as well (although to a lesser extent). Ttraining on the SOCIABLE ICT platform and cognitive training approach is therefore acknowledged as an important complementary asset, which is a key to the success of the pilot operations. Likewise, training activities represent an essential part of WP5, which deals with the preparation of the pilot sites. The present deliverable documents the training process followed in the different pilot sites and the documentation that has been elaborated for the training seminars conducted. A variety of training seminars have been organized at the various pilot sites, with a view to acquainting health professionals and other stakeholders with the full range of processes that comprise the SOCIABLE pilot operations. Hence, the training was not confined to the use of the SOCIABLE ICT platform (including games, book-of-life and back-office functionalities). Rather it was extended to a full presentation of the processes engaged in the pilot operations, including the SOCIABLE study design and clinical protocols. The training of health professionals emphasized on the organization and supervision of a SOCIABLE ICT-based cognitive training session. Health professionals were accordingly in charge of supervising and tutoring the elderly that participate in the pilot sessions. Moreover, some sites trained IT administrators with a view to transferring them knowledge associated with the management and troubleshooting of the SOCIABLE platform. The

deliverable illustrates the topics that comprise the SOCIABLE training sessions, while also illustrating the training events that were organized at the various pilot sites. In order to support the training activities, the consortium developed a variety of materials and documentation. The materials included presentations, manuals and multimedia and were used differently at the various sites and for the different target groups. Despite the inclusion of theoretical sessions, the most essential part of the training was its practical part, which involved «hands-on» sessions. This practical part enabled end-users to emulate SOCIABLE sessions in a realistic context, which accordingly boosted their ability to support the practical sessions. Overall, the conduction and conclusion of training seminars facilitated the graceful start and evolution of the SOCIABLE pilot operations, according to the prescribed pilot operations plan. The availability of training materials, along with the experience of the tutors guarantees that the involvement of any new members/users in the pilot operations will be smooth and quick.

1. Introduction The main objective of SOCIABLE is to pilot a novel model for ICT assisted cognitive training and social activation for a wide range of senior citizens including normal elderly, older adults with mild cognitive impairment, as well as patients suffering from mild Alzheimer disease. Pilot operations have been organized across various sites in four European countries (Greece, Italy, Norway and Spain). Senior citizens are participating in the SOCIABLE pilots within leisure/care centers, as well as within their homes. The preparation of the pilot operations, described in D5.1 and D5.2, has been a long process, including administrative, organizational, technical, technological and medical perspectives, that has lead to the graceful commencement and execution of the pilot operations. Another important task not presented in the previously mentioned deliverables is the training of the users. This is a very important task since the SOCIABLE platform cannot operate without the active involvement of human operators from the different pilot sites. Before the commencement of the pilot operations is essential to teach the professionals involved in the pilots on how to use the SOCIABLE platform, since they will be responsible for using the platform with the elderly during the pilots. The present deliverable presents the training seminars conducted at each pilot site along with the documentation produced for these training activities. The deliverable is structured as follows: Section 2 following this introductory section presents the training process defined by the whole consortium and how this process has been applied in each pilot site. Section 3 presents the relevant materials and documentation created for the conduction of the training seminars. Finally, section 4 concludes the deliverable.

2. Training process

As previously commented the training process is a very important task in the SOCIABLE project, given that SOCIABLE platform cannot operate without the active involvement of human operators from the pilot sites.

The people (experts/careers) that will perform the SOCIABLE Training Sessions with the elderly must be trained before the commencement of the pilot operations. It was envisaged that one fully day training on all the SOCIABLE modules and the SOCIABLE cognitive training paradigm would be enough. Hence the SOCIABLE training (for health professional engaging in SOCIABLE sessions) should as a minimum cover:

• The Workflow of the SOCIABLE approach to cognitive training.

• Training on the Back-office module of the SOCIABLE platform.

• Training on the BOL application.

• Training on the SOCIABLE cognitive games.

The following table shows the training process designed proposed to the pilot sites, with emphasis on the different subjects/topics comprising SOCIABLE training session. These topics cover all the (software) modules of the SOCIABLE platform (Back-office, Book of Life, and Cognitive Games), the cognitive assessment of the elderly (based on the platform), as well as issues associated with setting-up and configuring the platform.

Using this design as a base each site has defined and conducted its own training sessions. In particular, the per-site training sessions have been customized taking into account the needs of the user at each site, following also consultation between the tutor/trainer and the trainees. Note that different sites presented quite different training needs, depending on the level of acquaintance of the health professionals with the SOCIABLE approach. For example, the sites of the medical experts of the consortium (i.e. FSL, HYGEIA, AUSL) did not require extensive training on the overall SOCIABLE approach and study design, given that these sites were in charge of specifiying the SOCIABLE clinical protocol. This was not the case however with the municipal care centres, which asked for a more detailed presentation/training on the SOCIABLE service model and study design.

Another difference in the curriculum taught at the various sites, had to do with the provision of technical support. The above mentioned information was provided in a number of different training materials, including documents (manuals), PPT presentations and multimedia (i.e. video demonstrations). These materials were in most cases provided as accompanying documents to the participants of the practical (i.e. hands-on) sessions, which were preferable and more effective. In the sequel we illustrate the contents of some presentation accompanying the training sessions (including screenshots), while manuals for the Back-office and the Book-of-Life applications are provided as Appendices to this deliverable.

3.1. SOCIABLE Congitive Training Approach A presentation was created in order to introduce traineers (notably medical experts) to the SOCIABLE approach to cognitive training and social activation of the elderly users. The main contents of the presentation included: • A brief Introduction to the SOCIABLE project, including the main goals/objectives

of the project, as well as the goals/objectives and targets of the pilots. • A presentation of the SOCIABLE cognitive training approach, based on the main

SOCIABLE use cases and according to the SOCIABLE medical protocol. This included the presentation of the duration of the SOCIABLE cogntive training programme, the frequency of the sessions, as well as the tests comprising the SOCIABLE users pre-assessment and post-assessment. The presentation of this information was based on the respective SOCIABLE deliverables D1.4 and D7.1.

• An overview of the SOCIABLE pilot operations plan (as described in D6.1) with emphasis on the quarterly periods and users’segmentation comprising the SOCIABLE pilot operations.

• An overview of the SOCIABLE platform and its main components and applications (i.e. back-office application, book-of-life, cognitive training games). The overview focuses on the functional perspective (i.e. based on main use cases) rather than on the technical/technological perspective.

This presentation was used in order to support the introductory session «SOCIABLE Services in a nutshell», which is listed in the training curriculum outlined above. As already outlined, this presentation was presented to medical experts and health professionals that support the SOCIABLE sessions during the pilot operations.

3.2. SOCIABLE Platform Overview and Main Menus/Functionalities

A presentation comprising the main screenshots of the top level menus of the SOCIABLE platform was used in order to acquaint users with both the available functionalities and the navigation principles within the SOCIABLE platform. Some indicative screenshots are shown in the following illustrations. Note that these screens cover (mainly) the login and game selection processes. The presented screens are the ones localized for the Greek users (i.e. the captions are in the Greek

3.3. Back-office A document explaining all the functionalities provided by this module has been distributed to all the pilot sites. This document is available in Annex I

3.4. BOL A document explaining how to interact the application and providing clinical guides to use the application with the elderly has been prepared. The document can be found in Annex II. Moreover a video simulating a BOL session with an elderly user has been provided to all the pilot sites.

3.5. Cognitive games Medical experts and elderly were trained in the use of the cognitive training games. Emphasis was given in the twelve games comprising the interim version of the SOCIABLE platform. The training on the cognitive training games comprised hands-on sessions, as well as theoretic sessions. The theoretic sessions were back-up by the following training materials: • The description of the games, which have already been provided as part of

SOCIABLE deliverables D2.2 and D4.2 (report). Note that these descriptions have been updated to reflect the evolution of the games development.

• PDF files depicting the graphics and scenario of the games. These files illustrate all the screens of the games and therefore allowed the participants to review the games and their operation off-line i.e. without any need to train with the platform. Note that these games illustrations are relevant for the training at both the home environment and the care centre.

• Presentation of the SOCIABLE games, including some screenshots of the games on the platform. These presentations complement the PDF and deliverables outlined above, since they illustrate the games operation on the platform. Thus, they have been used prior to the introduction of the elderly to the hands-on sessions. Some indicative screenshots (localized in the Greek language) are illustrated in the following figures. Note that the screenshots presented include all the screens comprising the game, such as welcome screen, instruction screen, level selection screen, play screens etc.

4. Conclusions Training activities are an integral and very important part of the pilot sites preparation process, given that they are a prerequisite for the successful and effective involvement of human operations in the pilots.The SOCIABLE project has paid emphasis on the training process through: (a) organizing training sessions for different topics and audiences and according to the needs of the pilot sites, (b) developing accompanying training materials including presentations, manuals and video demonstrations. The training sessions at the various pilot sites were conducted before the commencement of the pilot operations or at the beginning of them. Through the training process, health professionals at all pilot sites were trained in the use of the SOCIABLE ICT platform, as well as on the organization, conduction and supervision of cognitive training sessions in-line with the SOCIABLE approach (study design and clinical protocol). This deliverable has presented the main elements of the training process defined by the consortium and how this process has been applied in the different pilot sites. For the conduction of the training seminars it has been necessary to prepare relevant materials and documentation. Different text documents with technical and clinical information and videos demonstration how to use the different modules of the SOCAIBLE platform have been prepared. The deliverable has also collected and presented the materials that accompanied the training seminars. Overall, the training activities of the project have ensured the graceful commencement of the pilot operations at the various pilot sites. The main emphasis have been put on the practical training of health professionals (i.e. medical experts and carers) given that these are the main operators of the SOCIABLE platform but also the supervisors of the SOCIABLE sessions. Health professionals were in charge of instructing the elderly in their sessions with the SOCIABLE platform and hence their involvement is key to the success of the pilot operations. Well-trained health professionals is indeed a cornerstone to the successful deployment of the SOCIABLE cognitive training approach, given that it leads to the most effective exploitation of the time and effort of the undeniable precious medical human resource.

1. Introduction This manual covers the use of the Sociable Console application, the web application that allows user medical experts and administrators to manage all the activities involving back office activities of the SOCIABLE project.

1.1 General To access to the console, you must open your browser to the address provided by the administrator; then you will required to enter “username” and “password” (Figure 6).

2. Management Functions This section describes the functions for the medical experts.

2.1 Set up Patients and Medical Experts In the Patients menu, you can see all the patients recorded in the system; for each patient the application shows some information like name, identification number and so on (Figure 12).

You can filter the list of patients specifying some criteria and then clicking the “Apply” button: you can filter by “Group”, “Identification number” and “Name”; it is also possible to order the results by name and registration date (Figure 13). You can remove the filter by clicking on the “Reset” button.

Now it's time to create a new patient; first of all you have to create the period when your patients will execute their trainings and the group that will include all your patients. To create a new Period, select the menu Studies → Periods and click the “Create new” button, then fill the required field with the name and the date of start and end of the period. Finally click the “OK” and the “Save” button (Figure 14).

Next step is Group creation, select the menu Studies → Groups and click the “Create new” button, then fill the name of the group and select a period for this group. Finally click the “OK” and the “Save” button (Figure 15: Group creation).

When you create new patient, as described in the following section, in the tab “Patients” of the group you will see all its patients.

Now we can create new patients: select the menu Patients → Patients (see previous Figure 12). From this page, the list of patients, you can add a new patient by clicking the “Create New” button. The application will show you a new page where you must insert several information of the patient (Figure 16). Patient information are divided in tabs; each tab will contains some specific data like:

You can move from a tab to another by clicking on the label of the tab, remembering to confirm after the data insertion on the “OK” button for each tab. Let see in detail the first tab “Registry” (Figure 16); in this tab you will insert the main information of the patient; most of this data are mandatory: “Identification number” will contain a code that will identify univocally the patient for the whole SOCIABLE project; this code will consists of the identification code of the site and a progressive number. Other information are “Birth date”, where you will specify a date by clicking on the icon of the calendar. The icon “+” on the right side of some fields (“Birth city” and “Academic level”) allows you to create a new element in a specific table, if the desired element is not present, i.e. if you need to specify a city not present in the list of “Birth city”, you can click on the “+” icon and the windows “New City” will appear: here you will insert the new city, then click on the “Create” button. In this way the new city will appear in the list of the birth city.

Next tab allows you to insert information that will be used by the system to identify the patient in the Surface device. The application will propose you a “Username” and a “Password”: you can change both.

The last field to insert is the “Tag”; this is the Surface tag that will be used in the card to login in the Surface without the need of specifying “Username” and “Password” (Figure 20).

Like in the previous tab, you have to confirm data by clicking on the “OK” button.

Figure 20: Patient User The tab “Cognitive Skills” allows you to select the cognitive skills for which the patient will be treated during the program. To add a cognitive skill, you have to select it from the drop down list in the bottom of the page and then click the “Add” button on the right side of the list. You will see the added cognitive skill in the appropriate list. You can filter the cognitive skills shown in the drop down by writing some characters in the text box of the drop down.

To remove the skill, you have to click on the “Trash” icon in the row of the skill (Figure 21).

Now, to display the remaining tabs, you have to click on the tab with the “...” label (Figure 22).

In the tab “Hobbies” you can specify hobbies for the patient, this information will be used by the Book of Life in social activation (Figure 25).

Let’s create now a new medical expert entity by clicking on the menu “Patients” and selecting the sub menu “Personnel”: the application will show you the list of medical experts: you can add a new expert by clicking the “Create New” button.

2.2 Perform a Cognitive Assessment and Store the results The cognitive assessments of patients are shown by clicking the menu Studies Patient Test Results; after selecting this menu, the application will show the list of the assessments recorded in the system. As for the other lists, you can filter by different element like “Patient”, “Test” and “Date” (Figure 30).

To record a test result (assessment), you have to click the button “Create New”, then the application will show you a form where you have to specify the test performed.

You can filter the list of tests by writing the initial letter of the test name (Figure 31).

2.3 Set up a Training Programme This section will describe the other main activity for the medical expert, the creation of a training program. When you select the menu Studies → Trainings, the application will show all the trainings created for patients; you can filter the trainings by selecting patient, start date and end date. From this page you can create a new program by clicking the “Create New” button (Figure 33).

Then the application will ask you the general information for the new training; you have to insert a name for the training, a group from which the user will be selected and the care center where the training will be executed. When done, you have to click the “OK” button, then click on the “Patients” tab (Figure 34).

When you press the "OK" button, the system shows the configuration page of the selected game; from here you can specify a value for each parameter of the game: a game typically requires a single parameter that is the difficulty level; to set a value, select the value from those available in the list and then press the "Add" button (Figure 40). No need to set values for the proposed parameters; if not done, the system will use default values. For the difficulty level, the system suggests the more appropriate for the patient with the most severe level of dementia.

games. You can remove or configure an existing game, respectively, by pressing the trash icon or pencil (Figure 41).

At this point the training is ready: you only need to save the work done by pressing the "Save" button.

2.4 Managing Tables In section “General”, you can manage the tables that feed most of the drop down of Consolle; every table allows you to create a new element if the desired elements are not present. Below will be shown all the tables, even if they are all handled in the same way. For example, when you click the icon “Care Centers”, you will see all the elements already created (Figure 42).

2.5 Specify resources for games and the Book of Life Each SOCIABLE game gives the opportunity to be personalized with multimedia resources such as images, sounds or video; the same can be done with the Book of Life, which is considered in the back office like the other games. To change the resources of a game, you have to open the list of games from the General menu → Games (Figure 52). From here, select the detail of the game by pressing the magnifying glass icon.

Concept The “Book of Life” application is a personal diary, containing life experiences, emotions and thoughts, which is created by the elderly user through the SOCIABLE ICT platforms. Through the book of life, elderly users are able to share information about their life (e.g., photos, sounds) with other users. The book serves as both a collective memory and an individual memory. The main objectives of this application are: • To enhance self-concept and self-esteem, improve mood states, and prevent

social isolation • To find other users with the same kind of hobbies, interests, etc. • To help the elderly to improve his/her communication capabilities and/or increase

the number of his/her social contacts. • It can be used as a trigger to encourage reminiscence of past events, which elderly feel

very comfort to discuss about, since these are the ones they more efficiently remember. These memories can be used by the medical expert to connect past and present.

• It can be used to encourage verbal expression and discussion. Each book has 4 different chapters, corresponding to different life stages (infancy, adolescence, adult, maturity). Each chapter has several subchapters. Following, the list of chapters and subchapters is presented:

The application allows selecting and customizing a cover for each book. The user can choose a title for the book, the color of the letters and also the model of the cover (among the three proposed by the application). After the cover selection, the application enables the customization of the content of the different subchapters (text, images, sounds and objects).

4. Using the application When the application is started the login screen appears (Screen 1). The users can login by putting their card on the table or by introducing the password. On the right part of the screen a list with all the users logged in appears. When all the users are logged in they should press the “start” button to go on.

After the pre-session assesment the user access the main menu of the BOL application (Screen 4). In the main manu the user has four possibilities:

• New book of life: The elderly (alone or in a group) can create a new book of life. He has to select a chapter and then complete it by adding text, photos, sounds and objects. The elderly can indicate if he wants to share this chapter with other SOCIABLE users.

• See a book of life: The elderly can see an existing book of life. He can see one of his books (individual or group) or a book of other user who has decided to share some chapters of his book with other SOCIABLE users. The different chapters of the selected book are shown.

• Edit a book of life: The elderly can choose one of his books (individual or group) for modifying a chapter. The different chapters of the book are shown. At each chapter the user has the possibility of modifying the text, the photos, the sounds and the objects included. The user can also indicate if he wants to share this chapter with other SOCIABLE users.

• Friend management: The elderly can find users with common hobbies and become friends. The elderly can share his books with friends.

New Book of Life menu When the user selects the option “new book of life”, the application allows him to create a new single book of life or to create a book of life shared with other users. If only one user is logged in he will create an individual book. If more than one user are logged a group book of life will be created. Each user only can have one individual book of life, so if a user with an existing individual book selects this option the application redirects him to the chapters’ list to edit his individual book (Screen 6). After selecting the type of book (single or with friends) and the users in case of a shared book, the user can select the type of cover for the book (Screen 5). Once a chapter has been selected the user has the possibility of customize the content of the chapter in the following way:

• The application presents a set of questions, related to the stage of the life selected, to work reminiscence. The elderly can answer the questions or write text related to these questions (write your chapter tab) (Screen 7). If the elderly has problems to write a text he can choose to record his voice (record your chapter tab) (Screen 8). Note that only one recording per chapter is allowed. To record the elderly speech an usb microphone is needed. Please before starting the recording ensure the microphone is connected to the surface.

digitalize them by means of a scanner to get a photo in jpg format. The career will use the back-office application to upload the user’s photos. The user selects the photos he wants to include in the chapter by dragging them from the upper interaction area to the lower interaction area

• (Screen 10)The application presents a set of songs related to the stage of the life selected. The user can select the songs more meaningful to him. The user can provide his favorite songs to the career in order to include them in the application. The sounds have to be in .mp3 format. If the elderly or his relatives bring a cd with music (in wav format), the career/medical expert will have to convert them to mp3 using a specific PC software. The career will use the back-office application to upload the user’s songs. If the career or medical expert wants they can also upload common materials for all the users. The common materials are uploaded using the same back-office application. Due to the differences among the countries (Spain, Italy, Greece and Norway) each country has to select his common songs for each time (childhood, adolescence, adult, maturity). The user can listen a song by selecting it in the available song list and if he wants he can add it to the chapter by pressing the “add song to the chapter” button.

Finally the user has to choose if he wants to share this chapter with other users (Screen

12). The application provides three possibilities: share with nobody, share only with friends or share with everybody. If the user decides to share the chapter with friends or with everybody, then other users will be able to see this chapter from the “See a book of life menu”.

If the user decides to start a new chapter the application goes to the “chapter selection” (Screen 6). Edit a Book of Life menu The option “edit a book of life”, allows the user to modify a chapter or to write a new chapter of his book of life. If only one user is lloged in the application will show his individual book. If more than one user are logged in the application will show their group book to modify it. The index with all the chapters appears (Screen 6). The chapters that have been completed have a green mark close to the name. If the users selects a new chapter (without green mark) the process of introducing the text/recording, photos, songs and objects, previously explained is started again (Screen

7, Screen 8, Screen 9, Screen 10, Screen 11, Screen 12, Screen 13). If the user selects a chapter previously completed (with green mark), the content of the chapter is shown in the book (Screen 19). The user can edit/ modify the content of the chapter by pressing the “edit” button.

Friend management menu With the option “friend management” (Screen 20), the user has the possibility of finding other users with common hobbies and become friends. This option is only available when playing the application individually (only 1 user logged in).

6. Including new materials The elderly or his relatives have to provide to the carer/medical expert the new material (photos or sounds) to include in the book of life. Related to the photos if they are in paper the carer/medical expert will have to digitalize them by means of a scanner to get a photo in jpg format. Related to the sounds, they have to be in .mp3 format. If the elderly or his relatives bring a cd with music (in wav format), the carer/medical expert will have to convert them to mp3 using a specific PC software.

6.1 Using the back-office The back-office application has an interface to upload sound and images. The carer or the medical expert will have to use this interface to upload new materials. The back- office application will upload media files to a specific folder in the file system of the web server. When the book of life is started, it checks if there are new materials for the patient and in this case they are copy form the web server file system to the local file system (surface or PC). If the carer or medical expert wants they can also upload common materials for all the users. The common materials are uploaded using the same back-office application. In this case the media files are stored in a specific folder of the web server file system. 6.2 Manually In C:\Sociable\Games\Resources\BOL each user has a folder named with his PatientID. Inside this folder there are 2 subfolders “audio” and “images”. The audio folder contains audio files in mp3 format. The images folder contains photos in jpeg format.

If the back-office is not working the medical expert will have to create the folder structure and add manually the photos and audios to these folders. In C:\Sociable\Games\Resources\BOL\Common there are all the common resources (audios and images). The common resources are divided in chapters. The medical expert can also add new common resources by adding manually elements to these folders.
