Banquet & Catering Policies
Food and Beverage Service: The Hilton Indianapolis Hotel & Suites isresponsible for the quality and freshness of the food served to ourguests. All food served must be prepared by our culinary staff. Foodmay not be brought in, or taken off the premises after it has been prepared and served. The sale and service of alcoholic beverages isthe responsibility of the hotel. It is a policy, therefore, that alcoholicbeverages cannot be brought into the hotel from the outside.
Administrative Fees:All catering and banquet charges are subject tothe customary service charges and state sales tax. Function RoomRental and Audio Visual charges are subject to 23% service chargeand any applicable taxes, will be added to your account. The roomsetup fee and AV fee are retained by the Hotel and are not a tip, gratuity or service charge for any employee and are not the propertyof employee(s) providing service to you.
Function Room Assignments: Room assignments are made accordingto the guaranteed minimum number of people anticipated. Becausethese attendance figures may vary from expected attendance, we reserve the right to change function room assignments to best accommodate either increasing or decreasing attendance figures.
Guarantees: A guaranteed attendance figure is required for all mealfunctions 72 business hours prior to the function time and is not subject to reduction, after that time if the catering office is not advised by this time, the estimated figure on your contract will become the guarantee.
Menu Pricing: All menu prices and items are subject to change untilsuch a time as banquet event orders (BEOS) have been signed andreturned. Pricing is subject to a proportionate price increase to meetincreased cost of food, beverages, labor, etc. Prices cannot be guaranteed until 60 days prior to the time that the particular function takes place.
Audio-Visual Equipment: We will be pleased to arrange for any audio-visual requirements and/or internet services for your event.Audio Visual is to be provided by in house PSAV unless otherwiseagreed. A 23% surcharge fee will be assessed for any audio-visualequipment that is brought into the hotel from an outside source. Thischarge is based on 23% of our current audio-visual equipment prices.
Billing: An acceptable form of payment must be agreed upon during the initial booking arrangements. Acceptable forms include advance deposit (prepayment), direct billing (subject to approval) orcompleted credit card authorization form.
Security: The hotel does not assume responsibility for damage or lossof any merchandise or articles left on premise prior to, during, or following any event. Arrangements for security to monitor equipment or merchandise may be made through your catering contact prior to the event.Security services for all events must be approved in advance by yourcatering or sales manager.
Decorations: Your catering manager will be happy to assist you witharranging freshly cut flowers, centerpieces, ice carvings, themeddécor, specialty linen, etc. The hotel will not permit the affixing of anything to walls, floors, ceiling, or equipment with nails, staples, tapeor any other substance or device.
Package Handling: All arriving packages must have the following information: name of group, date of the event/function, catering orsales manager’s name, name of the on-site contact and the number ofpackages must appear on each package. The following fees apply toall packages received or shipped: Each box = $5.00. A pallet of boxes = $150.00 (per pallet). Boxes will not be accepted priorto three business days before the function. Any items left on hotelproperty after seven business days following the conclusion ofevent/function will become the property of the hotel. There will be aone-time shipping and handling charge accessed for each package received at the hotel. Any and all packages being stored atthe property more than 48 hours prior to guest arrival, or the start of aconvention, or 48 hours after the guest has checked out, or groupevents have concluded, will access a storage charge of: $3 per dayper envelopes (FedEx Type), $5 per day per box, and $150 per day per pallet.
