to your preferences. The package also includes professional onsite Day-Of Coordination to make every finite detail come to life while you enjoy your magical day with your friends and family. This vintage barn dates back to 1905 and

includes 2,400 sq. feet of space. Begin your evening with a hayride through the luscious prairie and end with an old fashioned barn dance. The property also

Meet your Planner ~ Hello. My name is Tricia. My business, Little Farm Girl; Events and Consulting has paired up with the Bruentrup Heritage Farm so together

we can make your special day an effortless one! Your Package Price Includes:

Prior to Wedding Date ~ 1 hour consultation after your booking to answer questions on vendors and layout of tables, chairs, bar, and dance floor; a one hour phone

conversation two weeks prior to your date to discuss vendor contracts and your day-of timeline. Templates to make your planning simple.

Rehearsal ~ The Planner will set- up rehearsal day timeline; arrive 1 - hour prior to rehearsal time for set-up; coordinate and run the rehearsal when scheduled on-site;

create a bad weather plan. Wedding Day ~ The Planner will be available the day-of from 8 am - Midnight to coordinate setup/take-down of decorations; help to coordinate family and bridal party for picture timeline; assist with boutonnieres/corsages floral placement; direct guests to their seats for the ceremony and throughout the evening; cue the music and the bridal party; coordinating with vendors and musicians throughout the evening; vendor meals;

For example, it was very windy during part of the reception and a vase of flowers on one of the tables blew over. spilling water on the table. Tricia noticed this, wiped up the water and changed out the table cloth in minutes without being asked. Our guests at the table really appreciated sitting at a dry table with a clean table cloth for dinner. We also like Tricia's style. She explains the options and what she thinks is the best course of action without sounding arrogant or impatient. When there was a question on a policy or procedure, Tricia looked into the question and provided a reasonable and timely answer. BRUENTRUP HERITAGE FARM GUIDELINES

From the Board of Directors and the City of Maplewood ~ We want to help

make your event a success. We have established a number of procedures

and guidelines to facilitate communication between the renter and the

Maplewood Historical Society (MAHS) for your review. Your contract will

specify that you are in agreement to the following:

A. RENTAL PROCEDURES:

1. The reservation is guaranteed after the down payment and the signed contract

are received by MAHS. The Down Payment is specified on the contract.

2. The balance of the rental is due 21 days prior to the event. All checks should be

written out to MAHS and credit card payments will be charged a 2% service charge.

3. A damage deposit of $500.00 will be included in the final balance price

contracted. A refund of all or part of the damage deposit will issued 10 days after the

event, in the form of a check, after a post event review of the property. 4. The renter may cancel the reservation by giving written notice to MAHS. If

written notice is received ninety(90) days or more to the event, $500.00 of the deposit

refunded. If written notice is received MAHS less than ninety (90) days prior to the

event, the entire deposit will be forfeited.

5. The renter may not sublet the facility, nor may the contract be transferred or

re-assigned.

6. The hours of operation for your event will be scheduled with the Day-Of

Coordinator as follows:

Friday Weddings:

Rehearsal time on Thursday from 4 - 5 pm on-site

Friday Set-up @ 8am, Last Call Alcohol @ 10:30 pm, Music to end @ 11:00 pm,

all Clean-up and departure by Midnight.

Saturday Weddings:

Rehearsal time on Thursday from 5 pm - 6 pm on-site or Saturday morning from

9 am - 10 am

Saturday Set-up @ 8am, Last Call Alcohol @ 10:30 pm, Music to end @ 11:00

pm, all Clean-up and departure by Midnight.

7. Occupancy: The barn’s main floor rental area space is 165 people maximum with

tables and chairs. For informal seating the main floor has a maximum capacity of 190

people. The farmyard may hold up to 290 people.

8. Under certain conditions, MAHS may be forced to cancel a lease agreement prior

to the event. Possible reason for cancellation include, but are not limited to, a declare

state of emergency such as weather (tornado, flooding, blizzard), unsafe health or

environmental conditions or interrupted utility service. In such an emergency, the

renter agrees that MAHS has no responsibility for inconveniences the renter may suffer

or incur due to such a cancellation. We will attempt to notify the renter as soon as

possible if such a cancellation occurs. All fees paid by the renter shall be refunded if the

reservation is cancelled by MAHS for any of the above reasons.

B. FOOD AND BEVERAGE:

1. All food served at your function must be prepared by a valid licensed food caterer

who has liability insurance. The farm does not have a cooking kitchen. A copy of the

food-catering license and certificate of insurance must be forwarded to the Coordinator

at least 30 days before the event as well as a copy of the contract between the renter and

the food caterer.

2. Intoxicating alcohol, including wine, beer and hard liquor must be served by a

licensed alcoholic beverage caterer who has liability insurance. A copy of the alcoholic

beverage catering license and certificate of insurance must be forwarded to the

Coordinator at least 30 days before the event.

3. Alcohol beverages are not allowed in the farmhouse.

4. Alcoholic beverage service has a required last call at 10:30 pm

5. A licensed caterer may use glass plates and cups for serving and are responsible

for all cleanup.

6. MAHS will provide recycle and trash bins on site.

7. If alcohol is served, an off duty Maplewood Police officer must be on site from the

time alcohol service begins until Midnight. The renter agrees to pay the off-duty officer

$40.00/hour cash for that time period on the day of the event. The Coordinator will

schedule this officer.

C. SETUP AND DECORATIONS

1. The Coordinator must approve all decorating plans

2. The renter is responsible to make arrangements for any additional

rental/delivery/set-up and fees for tables/chairs/tents/PA systems/decor/furniture etc.

not included in the package price.

3. All deliveries may occur between 8am and 3 pm on your event date. For both

Friday and Saturday Weddings, arrangements need to be made with the Coordinator for

rental items to be removed by midnight or if space is available items could be stored

until the next day.

4. In the farmhouse, nothing may be affixed to the walls, floor, ceiling or doors.

5. No open flame, fires, fireworks, sparklers are allowed on the grounds without

approval of the Coordinator. Candles or lanterns must be battery operated. No gas

lanterns or heaters are allowed on the property. If sterno is used to keep food warm in

the buildings, an adequate containment method is required.

6. Fun-tak or Command strips may be used in the barn to fasten decorations. No

nails, staples or glue may be used in the barn.

7. Clean-up is required by the food and alcohol catering companies for their areas.

The Coordinator will remove decor from tables at the end of the night and repackage for

removal.

8. No decorations may be hung on the fire sprinkler system per order of the Fire

Marshall.

D. LIABILITY INSURANCE AND LICENSES

1. The renter assumes full responsibility for the groups conduct and for any loss,

breakage or damage to the rooms, structures, artifacts, equipment or property.

2. The MAHS and Little Farm Girl; Events and Consulting is not liable for any loss,

damage, injury or illness by the users of the facilities and cannot be held responsible for

any items that are left behind at the property by the renter or contracted service

providers. The renter using the Bruentrup Heritage Farm shall agree to compensate the

MAHS for any such damages to facilities, equipment and further assumes all liability for

personal injuries, including death, caused by participants at the scheduled events.

3. All renters must purchase a Tenant Users Liability Policy(TULIP) from the City of

Maplewood’s insurance agent in order to provide General Liability to third party users

of the site. All certificates/or licenses must be forwarded to MAHS 30 days before the

event. This would include copies of:

A. The alcoholic beverage catering license.

B. The alcoholic beverage caterers certificate of insurance

E. CONDUCT AND SECURITY

1. Smoking is not allowed inside the split rail fence on the Bruentrup Heritage

Farm. We set-up an area just outside the fence to accommodate.

2. At their discretion a police officer or detective may:

a. Order and facilitate the removal of any offender of the smoking or alcohol policy

or anyone observed acting disorderly.

b. Order the removal of any intoxicating liquor from the premises.

c. Immediately revoke the permit and order all persons from the property if any

public safety violations occur.

3. Parents are responsible for children attending the event. MAHS is not liable. F. SOUND LEVELS

1. Wedding processional and recessional may be played during a ceremony held on

the grounds. Vocals or instrumental solos may be accompanied by music during a

ceremony held on the grounds. Reception music is limited to inside the barn.

2. Sound levels from bands, DJ’s music and audio equipment are subject to the City

of Maplewood noise ordinance, which states, “There shall be no disturbing noise

between the hours of 7 pm to 7 am. Music is

residential area where upholding the noise ordinance is a top priority of MAHS.

G. PARKING

1. The parking lots on the East side of the farm will accommodate 48 cars,

including 2 slots for handicapped occupants. An additional 8 - 10 cars can park around

the traffic circle.

2. MAHS can arrange for additional parking at Harbor Pointe Office Park which is

located 1 block West on County Road D. the coordinator will place crosswalk signs on

both sides of County Road D to assist guests with crossing to the trail leading back to the

farm. The renter is encouraged to provide a parking attendant to direct cars to the

Harbor Pointe Office Park if this lot is needed.
