Source : You need to be clear about why you're communicating, and what you want to communicate.
Message : The message is the information that you want to communicate.
Encoding : Transferring the information you want to communicate into a form that can be sent and correctly decoded at the other end.

Communication Cycle
Channel : Verbal including face-to-face meetings, telephone and videoconferencing; and written including letters, emails, memos, and reports.
Decoding : Errors can result in if decoder does not have the sufficient knowledge.
Receiver : Audience and their response.
Feedback : Verbal and non verbal reactions to your communicated message.

Barriers to Communication (Or Communication Noise)
Physical / Environmental : Standing near loud speaker, poor lighting or background noise etc.
System / Organizational : Unclear Organizational structure , undefined roles, lack of supervision or training etc.
Attitudinal / Psychological : Anger, Sadness , personality conflict etc.
Individual Linguistic Ability / Semantic Noise: Use of jargons, difficult words or inappropriate words.

Physiological impairment : Ill health, deafness, blindness etc.
Presentation of Information / Cultural : Consider audience. Stereotypical assumptions can cause misunderstanding.
Syntactical / Ambiguity of words : Grammatical mistakes or use of similar sounding words.

your goal or message. What is your purpose in communicating with this person?
To be clear, try to minimize the number of ideas in each sentence. Make sure that it's easy for your reader to understand your meaning.
Concise When you're concise in your communication, you stick to
the point and keep it brief. Are there any adjectives or "filler words" that you can
delete? You can often eliminate words like "for instance," "you see," "definitely," "kind of," "literally," "basically," or "I mean."
Concrete When your message is concrete, then your audience has
a clear picture of what you're telling them. Contd…

7 Cs of Communication
Correct When your communication is correct, it fits your
audience. Do the technical terms you use fit your audience's level
of education or knowledge?
Coherent When your communication is coherent, it's logical. All
points are connected and relevant to the main topic, and the tone and flow of the text is consistent.
Complete In a complete message, the audience has everything
they need to be informed and, if applicable, take action. Have you included all relevant information – contact
names, dates, times, locations, and so on?

There are no hidden insults or passive-aggressive tones. You keep your reader's viewpoint in mind, and you're
empathetic to their needs.
