1 Synchronizing Your Laptop

Synchronizing Your Notebook, Tablet, or Laptop Files

SyncBackSE helps you backup and synchronize all your important files: your pictures,videos, music, Word documents, spreadsheets, databases, emails etc.

SyncBackSE V4 introduced the Smart Sync functionality which allows you to safely andeasily synchronize files between two different directories. Those files could be on differentdrives, different computers (via networked drives), different devices (e.g. a USB memorykey), or even over the Internet via FTP. One of the great uses of Smart Sync is tosynchronise you laptop, notebook, or tablet with your PC. This e-book shows you how.

2 Getting Started

The difference between Backup and Synchronization

You perform a backup when you want to keep a second copy (a backup) of your files. Forexample, you would backup your files from your computer to an external drive. A backupdoes not change your original files. If you accidentally delete a file, or make changes youdon not want, etc. then you can restore the original file from the backup.

The following graphics illustrate a backup and restore operation:

When synchronizing files you are however copying files between two computers or storagemediums, e.g. your hard disk and a USB memory key. For example, you have a desktopcomputer and a notebook computer and have copies of the same files on both computers.You may be changing those files either on your desktop or notebook depending on thesituation. For example, you may go on a business trip with your notebook and change thefiles while away. When you return you want to make sure your desktop and notebook havethe latest copies of those files. To do this you would synchronize the files.

With synchronization files are copied from one to the other based on when they were lastchanged. Files may also be deleted, e.g. you deleted a file on your notebook and so wantthe same file on your desktop to also be deleted.

Creating a Smart Sync profile

In the following example we'll create a profile on the desktop computer to sync with thenotebook computer. You could do this on your notebook instead if you wish as it doesn'treally matter where the profile is run from:

Start SyncBackSE

Click the New button or press Ctrl-N to create a new profile, select SmartSynchronisation from the list (or press Alt-M), then click OK:

Now enter a unique name for this profile and click OK:

The Profile Setup screen now appears:

First you need to tell SyncBackSE where the files are on your desktop that you want tosynchronize with your notebook.

To do this click the folder icon next to Source.

The following Browse For Folder window will appear:

With Windows XP your documents, pictures, music, etc. are usually all stored in a specialfolder called My Documents, so in this example we'll choose that folder. If your files aresomewhere else please select the appropriate folder.

Now we need to choose the folder on your notebook computer. It is assumed that you'vecreated a network share on your notebook computer that has been configured to allowothers to change the files and the security permissions are set as required.

In the profile setup screen click the folder icon next to Destination:

In this example we selected the SharedDocs folder on the Bigted computer (which is a partof the Easylife workgroup/domain). You must choose as appropriate for your situation:

You will note both the Source and Destination file paths are now entered in the Profile Setupwindow together with a brief description of this profile:

You may not want to synchronize all the files and folders.

If so, click the Choose sub-directories and files button and select orunselect files and folders as appropriate:

You may want to check the Advanced tab to make sure thesynchronization settings are correct for your situation:

For more information on these settings see the help file, but the default actions are:

· Replace the oldest files with the newest files (i.e. once that have been modified morerecently). For example, if you modify a file on your desktop, but leave it unchanged on yournotebook, then when you sync the files the desktop file will replace the notebook file.

· If a file has been deleted in one place then delete it in the other. For example, if you deletea file on your notebook then when you sync the files that file will also be deleted from yourdesktop.

· If a new file is created in one place then it is copied to the other. For example, if you createa new file on your desktop then when you sync the files that file will be copied to yournotebook.

· For all other situations you will be prompted. For example, if you change the same file onyour desktop and notebook then you will be prompted.

You may want to check the Copy/Delete tab to make sure everythingruns smoothly:

In the above example we've told SyncBackSE to verify that files are copied correctly and tomake safe copies. These settings will mean the sync will take longer to run but it will catchissues that may occur due to network problems or if a file cannot be replaced because it isbeing used.

Once you're happy with the settings click the OK button.

The following dialog box will appear:

Click No, but if you wish you could click Yes to test your profile.

This will make a simulated run to check to see if everything is working correctly. No files areactually copied or deleted. Your profile has now been created and is ready to use.

4 Using a Smart Sync Profile

Using the Smart Sync profile the first time

Smart Sync profiles remember what the states of the files were the previous time the profilewas run. This means when a Smart Sync profile is run for the first time (a simulated run doesnot count) it has nothing to compare with and so its decisions will be different. For example,it cannot tell if the same file has been modified both on the source & destination. Because ofthis you must carefully check the Differences window when the profile is first run.

The Differences window

When a Smart Sync profile is run, and there are any differences, i.e. any files that aredifferent and so need to be copied or deleted, then the Differences window appears. Thisgives you an opportunity to change the default action and see what the differences arebefore any files are copied to deleted:

In the above example the files on the Left are your desktop (source) files. The files on theRight are your notebook (destination) files. The lower-left part of the window shows detailson the currently selected file. See the help file for more detailed help.

In the above example there are three differences:

· The Compare Presentation.ppt file has been deleted from the notebook and so the fileon the desktop will be deleted.

· The Mission Statement.doc file has been changed on the notebook so it will replace thefile on the desktop.

· The Quick notes.txt file has been changed on the desktop so it will replace the file on thenotebook.

You can change what actually happens by changing the Action value:

In the above example we are going to tell SyncBackSE to skip this file, i.e. do not doanything with it (ignore it).

If you double-click on a file in the Differences window then a new window appears giving youdetailed information on what the differences are between the files which you can view on thefollowing page.

Once you have reviewed everything click the Continue Run button to actually synchronizethe files.

Things to remember

SyncBackSE synchronizes entire files and not parts of a file. For example, if you change arecord in an Access database then it will synchronize the entire file and not just that record.Synchronizing files at a record level is impossible because SyncBackSE would need tounderstand the format and complexities of every type of file.

· If you are synchronizing your Microsoft Outlook PST file then note that the last modifieddate & time of the file is changed even if no new email was received or anything changed.This means the last opened PST file will be treated as the newest.

6 System Requirements

SyncBackSE System Requirements

SyncBackSE will run on the following Windows operating systems:

Windows 98, 98SE, ME, NT 4 (*), Windows 2000, Windows XP,and Windows 2003

(*) - The NT scheduler cannot be used with SyncBackSE unlessInternet Explorer 6.0 or later has been installed.

Windows 95 is not supported.

To copy locked/open files, you must be running Windows XP (Pro or Home) orWindows 2003. In addition, the file being copied (which is locked) must be on a local volumeformatted with the NTFS file system. It is not possible to copy locked files using Windows 95,98, 98SE, ME, NT, or 2000 due to limitations in the Microsoft Windows FAT32 file system.

SyncBackSE produces log reports which will show what system you are currently using. Youwill be able to view a log report after you have run SyncBackSE by going to Main Menu >Task > View Log:
