Vital’s specialist managed communications software platform.

Epoch streamlines processes and reduces the time spent on

specifying and managing bespoke products. It governs the print

management process, is a valuable tool to ensure quality of the

products supplied, and supports the marketing supply chain.

Epoch provides automated calculations and cost data to ensure a

transparent view throughout the sourcing process. With Epoch, you

are able to track and demonstrate savings in both cost and time.

The Epoch feature set spans the marketing supply chain, providing

greater automation, efficiency, control and visibility. The solution is

modular, scalable, web-based, multi-lingual and multi-currency.

VAL (VITAL ASSET LIBRARY)

Epoch, has a full Digital Asset Management solution built into the

platform that ensures the latest approved, press ready artwork is

held in a live folder for each production. This gives our customers

real time access to assets.

REVIEW HQ

Vital’s online tool integrated with VAL that allows you to review

working proofs with the ability to add comments, mark-up any

changes or simply approve the document as ready for print or

production. This tool is an asset to customers saving them time,

especially as proofs can be easily shared with colleagues.

We offer a flexible solution to handle the printing of letters, inserting

leaflets and mailing for our customer communications. This work

is carried out on a daily basis in line with current communication

To produce mailings of varying sizes and formats to notify residents of scheduled engineering works.

THE BACKGROUND

We have worked with Network Rail since 2012, supplying business-

critical and operational print, in addition to delivering a variety of

one-off projects and general office supplies.

In 2016, we were approached to take over their mailing campaigns,

further consolidating the services we provide.

THE VITAL SERVICE

Notification mailings are used to communicate with households

close to railway tracks regarding engineering and maintenance

works that can be a potential source of noise or other nuisance to

residents. Network Rail has established that by informing residents

in advance of planned works, complaints are significantly reduced.

Notifications can either take the form of a letter, usually with a

map detailing the affected area, or a postcard, which are more

economical to produce and visually more effective. Volumes vary

from a single letter to tens of thousands per mailing, and are

identified using a given radius from a prescribed geographical

location. Mailings are directed to the occupier of an address rather

than a named individual to reduce data protection concerns.

Our production team is supplied with the letter text, a PDF of

any enclosures and the mailing list details. Typically, a mailing

request has a 24-hour turnaround so there is no delay in the

communications, and delivered via Royal Mail.

The Vital team managed one of the biggest compliance and re-branding projects the banking industry had ever seen, while continuing to provide essential “business as usual” services, for the UK’s leading retail finance group.

THE BACKGROUND

In 2008, the combined entity consisting of Scotland’s principal bank

and the UK’s largest provider of mortgages in turn became a part of

the banking group known for its black horse. In 2009, Office Depot

provided this entire banking group with all operational print, corporate

business stationery, and personalised print (in addition to general office

stationery). Again in 2009, due to the size and market dominance of

our client, following the acquisition of the aforementioned merger, the

European Commission had concerns about the lack of competition

in our client’s marketplace. To address the concerns, this bank

announced plans to restructure businesses within the group. In 2011

“Project Verde” was announced: the culmination of which would see

the creation of two new brands. This transition was hugely complex,

dealing with a change to legal entity as well as trading style, involving

an intricate number of stakeholder and governance processes.

THE VITAL SERVICE

This was one of the biggest compliance and re-brand projects

within the banking industry, and after a long and challenging journey

Office Depot, in partnership with the banking group’s programme

team, successfully delivered all elements of the Verde project

in November 2013.

Each element of the project was fulfilled within agreed timelines and

to pre-defined quality and budgetary boundaries. No deadlines were

missed and positive feedback was received throughout the entire

project. Both banks are now live and trading, and operating without

issue. The entire project was delivered to specification (and with

the challenge of constant last minute changes) whilst continuing to

provide “business as usual” services without interruption.
