Overview ● Introduction● The Application● The Benefits● Why it has been a Success● Well placed for the future● Observations and Lessons learned● Success Strategies● What makes a good Notes Application ?
My Role in the Project● I run FoCul who developed the software for ABB
● I started FoCul in 2000 after 10 Years in industry as an Engineer
– Frustrated by a lack of systems to let me manage my work efficiently and get on with being an Engineer
– Amazed at what I could do with Notes to add business value
● We started developing the application in 2002 after it was piloted by an ABB Engineer. In total 4 developers have worked on it over the 8 year period.
ABB Global Consulting● ABB Global Consulting is an international technical
consultancy providing engineering and project services to the process industries
● 80m USD sales revenue● Focus on the oil & gas, chemicals and pharmaceutical
sectors● 450 employees based in the UK● Offices across UK, Middle East, Far East

30%
The Benefits
● It has been the primary tool in contracts worth over 12 m GBP● It has made the ABB RBI+ process robust, tangible and flexible● It has made ABB 30% more competitive in those contracts● It has cost 300 K GBP● The Application has given ABB a competitive edge for 8 years● It has been used with 4 major releases of Notes with no upgrade
issues● It is well positioned for the future
www.deliverytoolkit.com FoCulCollaborative solutions for Engineers by Engineers
Why it has been a Success● Individual users get benefit from it
– Promotes better collaboration
– More efficient
– Removes administrative burden
– Provides flexibility
● The organisation gets benefit from it– Improves efficiency
– Enforces consistency
– Longevity
● The sales people get benefit from it– Makes the business process tangible
– It is adaptable
– It demonstrates how ABB is trying to reduce costs on behalf of the client

Other Success Factors● Distributed and often disconnected workers collaborating● Common processes with configurable aspects● Knowledge transfer between projects and consultants● Significant benefits from automating administrative tasks● Robust self contained nature of Notes works well with
consultants in remote locations with no support. ● Web, Notes, Notes on USB and Static HTML all used● RAD nature of Notes allows rapid but robust enhancements● Backward compatibility as Lotus Notes moves forward
Other Lessons Learned● Configurability is key but the configuration documents need
to be split up and I am wary of profile documents● Large attachments need to be stored separately from the
workflow documents● A more modular approach should have been adopted
sooner● The application needs to tolerate partial replicas● P2P replication via 3rd party product ( Colligo ) very useful.● Web feels right but the cost of dual client / browser
development has been prohibitive.● The Web is still very slow in many organisations
www.deliverytoolkit.com FoCulCollaborative solutions for Engineers by Engineers
Strategies used to deliver Business Value● Understand why the application is needed● Team effort with very visible key users● Provide configurability for users and super users● Use the power of productivity applications such as Excel /
Symphony rather than trying too hard with Notes● Provide simple schemes to transfer data between systems● Incremental but controlled enhancements● Coding once for web and client (an aspiration)
www.deliverytoolkit.com FoCulCollaborative solutions for Engineers by Engineers
Strategies to protect Business Investment● Choose a platform with a strong roadmap ● Choose a platform with a good record on backward
compatibility● Separate business logic from user interface i.e. use script
libraries and a modular approach to processes● Provide a sensible degree of user and super user
configurability● Retain a strong relationship with the developers

“In today's environment organisations are required to act more quickly to respond to ever-changing business demands, to get ahead of the competition and to deliver solutions to their business functions.
In the IBM Lotus brand we understand the importance of business applications because our IBM Lotus Notes and Domino customers have been running their businesses on applications for many years.
We understand the importance of integrating those applications with workforce collaboration, presence-awareness and other enterprise solutions, and delivering them on a variety of platforms to suit the needs of the users.
And we understand the importance of protecting your investments, in ensuring that you can continue to take those applications forward, to continue to evolve and improve them, and integrate them into tomorrow's business solutions and modes of collaboration.”
