What are the deliverables and deadlines?

• Date Deliverable

• April 15 Speakers confirm title, company, and contact information (include cell phone)

and Presentation title (and description, if possible).

• April 15 Speakers review platform instructions/tips to prepare to present.

• April 22 Speakers submit DRAFT presentations for ISPE & Session Leaders review.

• April 22-27 Committee Members/Speakers prepare personal production space.

• April 27 Session Leaders and ISPE Presentation Review and Comments Due.

• May 1-15 Speakers record presentations with Digitell.

• May 8 Final PowerPoint presentations & handout materials due.


How do I connect with the Virtual Platform Provider

(Digitell) to get my session recorded and when does

this need to be done?

• ISPE will provide a link for Committee Members and Speakers to schedule time with the DigitellTechnician.

• All presentations must be pre-recorded within the timelines provided by ISPE.


LIVE or Pre-RecordedHow will the virtual event flow for the day?

• Each session will be opened by the Session Leader, who will introduce each Speaker.

• Each Speaker will give their presentation (either live or pre-recorded) according to the program agenda.

• Based on the type of presentation, Speakers will be required to enter their virtual session room using the link provided by Digitell:

• 60 minutes in advance of the Session for live sessions and remain through the conclusion of the live Q&A.

• 30 minutes in advance of the Session for pre-recorded sessions and remain through the conclusion of the live Q&A.

• While the presentations are being broadcast for live or pre-recorded sessions, the platform includes a live chat/questions window where attendees can ask questions of the Session Speakers, as well as engage with other attendees.


How will the Q&A be conducted?

• The Q&A will be conducted live at the end of the session with the Session Leader and each of the Session Speakers with video/audio or audio only.

• The Session Leader will be able to choose questions and direct them to the appropriate Speaker or Panelist for interaction.


What does the virtual event experience look like for the attendee?

• On screen, the attendee will see the Speaker, presentation, and a chat/questions window where attendees can enter comments/ask questions.

What does the live experience look like for a pre-recorded Speaker?

• Thirty (30) minutes prior to the session, Speakers will login to the Zoom link provided by ISPE.

• Once logged in to the Zoom “Green Room”, Speakers will be assigned to their Digitell Tech and session room for this presentation.

• In the session room, the Digitell Tech will complete a “Tech Check” and review the session flow with the Session Leader and Speakers.

• The Digitell Tech will launch all the pre-recorded presentations and open the Moderator Panel for the Session Leader and Speakers to view.

• The Moderator Panel will include:• Polling

• Q&A

• Chat

• Host Chat – private chat only for the Digitell Tech, Session Leader, and Speakers to communicate during the session.

• In the Moderator Panel, the Session Leader will be able to flag questions to queue up for the Q&A period at the end of the session.

• At the end of the presentations, Digitell Tech will give a countdown before going live with the Q&A.

• Session Leader will facilitate live Q&A at the end of the session.

What does the live experience look like for a live Speaker?

• Sixty (60) minutes prior to the start of your session, login to the Zoom link provided by ISPE.

• Once logged in to the Zoom “Green Room”, Speakers will be assigned to their Digitell Tech and session room for this presentation.

• In the session room, the Digitell Tech will complete a “Tech Check” and review the session flow with the Session Leader and Speakers.

• The Digitell Tech will launch the session and open the Moderator Panel for the Session Leader and Speakers to view.

• The live Speakers will give their presentations in real time via their own webcam.

• The Moderator Panel will include:• Polling

• Q&A

• Chat

• Host Chat – private chat only for the Digitell Tech, Session Leader, and Speaker(s) to communicate during the session.


What technology do I need?

• A computer with an up-to-date operating system:

• Windows 7, 8, 8.1, or 10 with the compatible web browser: Google Chrome or Firefox.

• Mac OS 10.3 or higher with the compatible web browser: Google Chrome, Firefox, or Safari.

• A quiet instructional environment – if presenting live, assure you have adequate lighting.

• Zoom downloaded on your computer.

• Some additional items that are nice to have but not required:

• A dual-monitor setup

• HD 1080P webcam

• Hardwired internet connection


Do you have some tips to help Session Leaders & Speakers prepare for the virtual conference?

• If presenting live with audio/video, please review the webcam Best Practices provided by Digitell -https://digitellinc.com/webcam.

• If pre-recording a presentation, please practice your presentation to ensure you stay within the allotted time established by ISPE.

• An ISPE representative will be in each Session “room” during the broadcast of the event.
