2013 National Photography Program
Public Relations Toolkit How to Promote Your Participation in the National Photography Program
To help your Club promote its participation in the National Photography Program, Boys & Girls Clubs of America (BGCA) has provided a comprehensive public relations (PR) toolkit. The National Photography Program seeks to teach youth the art and science of photography in Boys & Girls Clubs, and it is comprised of the following components:
• Sony Equipment Grants: Sony Electronics is donating photography packages to some 200 local Boys & Girls Clubs that include several Sony point-‐and-‐shoot cameras, Sony interchangeable lens cameras and Sony VAIO® computers. Clubs also receive a stipend to help offset printing and other photography-‐related costs.
• ImageMakers National Photography Contest: The Photography Contest, which has a rich, 50-‐plus-‐year history in Clubs, invites youth age 6-‐18 to capture photographs in four different categories: culture and tradition, surroundings, portraits and photo with essay or poem.
• Photography Category of Digital Arts Festivals: Complementary to ImageMakers, youth manipulate photos using digital technology within the photography category of the Digital Arts Festivals.
• National Competitions: For both the ImageMakers National Photography Contest and the Digital Arts Festivals, Club youth complete projects that compete in regional Boys & Girls Club art shows. Regional winners then go on to compete for national recognition and awards.
• Summer 2013 Launch of New Materials for Club Teens and Staff: A new downloadable activity
guide accompanied by a series of videos that demonstrate photography techniques will be available for Club staff. MCML (www.myclubmylife.com) will also offer self-‐directed learning videos where teens can learn and practice photography skills at their own pace. These materials will replace our ImageMakers curriculum. Please note that moving forward ImageMakers will refer only to our ImageMakers National Photography Contest.
This toolkit will enable you to raise visibility with your local media and Club supporters/constituents on the great work your Club members are doing as part of the National Photography Program. As a participant, promoting the Program is a deliverable outlined in your letter of agreement. Please use this toolkit as a resource to promote your Club’s work year-‐round. PR opportunities include:

About the Partnership with Sony Electronics Through a national partnership with Boys & Girls Clubs of America, Sony Electronics is introducing youth at Boys & Girls Clubs nationwide to the latest in photography arts. Sony sponsors BGCA’s National Photography Program as well as the ImageMakers National Photography Contest and the photography category of the Digital Arts Festivals. This Program seeks to engage Club youth to explore and build their skills in photography, digital arts and self-‐expression. When school system budgets are strained, many schools are forced to reduce arts programs for students. Today, nearly half of all public schools do not offer visual arts programs. We also know that children from low-‐income families are 50 percent less likely to participate in arts programs outside of school than youth from affluent families. With the support of partners like Sony Electronics, Boys & Girls Clubs are helping to fill this need by offering programming and tools to educate and engage youth who might otherwise not have an opportunity for arts exposure.

Media Pitch Ideas Media outlets have hundreds of stories “pitched” to them every day. Therefore, it’s important to create a story that is unique and relevant to your community. The keys to a successful pitch are providing the right story angle, reaching out to the right contacts and following up accordingly. Suggested pitch angles to raise awareness of your Club and the National Photography Program:
• Importance of arts education for talented youth as many schools are forced to reduce arts programs with strained school system budgets.
• “Closing the learning gap” as children from low-‐income families are 50 percent less likely to participate in arts programs outside of school than youth from higher income families.
• Success stories of youth at your Club who are unleashing their creativity and building great futures through participation in the National Photography Program.
• How the National Photography Program is teaching youth the latest technologies in digital arts to empower passionate, innovative future artists.
Media pitch best practices:
• Research local journalists/bloggers who cover non-‐profits, education, technology and/or the arts to develop a targeted media list with contact information.
• Customize an email pitch to each journalist/blogger by referencing his/her recent articles/blogs on a similar topic.
• In the email pitch, know your objectives: o Who is the source?
§ Note: Offer interviews with Club kids if possible. o What is the angle? (See suggested pitch angles above.) o When and where is the event, success story, etc.? o Why should the reporter care? (Tie pitch to arts education trends and youth success
stories.) • Keep the email pitch short. For additional background, send your media target the Program press
release and/or media alert. • Email subject lines should be short, yet specific. • Pitch event-‐specific angles at least 3-‐5 days before the event (newspapers, television, radio and
online) to ensure event attendance and/or coverage. o Note: Magazines need a longer lead time; depending on the magazine, you will need to
pitch months in advance. • Follow up email pitches with a phone call to gauge interest in the event/story.

Newsletter/Web article Think about all the ways you communicate with your internal and external supporters. It may be through email updates, newsletters, meetings, etc. All provide an excellent platform to raise awareness. To craft a newsletter or Web article, you can simply post the corresponding news release shared in this toolkit, or use the content in the release to craft a brief article. Website Promotion: Be sure to promote that you’ve received a National Photography Program grant from Sony Electronics and showcase all the great things you are doing as a result. This provides good visibility for visitors, potential members and local supporters. Dedicate a space on your website to provide Program updates or spotlight youth artwork. Be sure to use the website link in promotion with social media and other communications. In addition, include photo(s) and/or video(s) with your post. Email Communications: Are you already communicating with your Club parents, supporters and constituents through a Club newsletter or other form of email communication? If so, include information about the National Photography Program and the artwork your Club members are producing. If not, consider creating a newsletter to share news and events to keep supporters up-‐to-‐date on the latest and greatest things happening with your organization. Be sure to include photo(s) and/or video(s) with your email communications. Recognition with Club supporters: Make the National Photography Program a topic at your next board meeting. Communicate with your biggest supporters about the significance of the Program and the great things your Club members are learning as a result. And, consider ways to incorporate the Program’s artwork into your next open house or parent night.

Success Story Collection Template It’s important to share the positive impact your Club is having on the lives of youth. Identifying and capturing success stories helps to do the following:
-‐ Raise visibility of how your Club and programs like the National Photography Program are making a difference for young people.
-‐ Capture individual stories of youth success as a result of the Program. -‐ Tell the story around the importance of the work you are doing with the grant.
Ideas for Success Story Promotion There are many ways to share your success stories with both your internal Club audiences (staff, youth, parents, board members, etc.) and external Club audiences (supporters, donors, community, etc.). Consider sharing your success stories through the following opportunities:
-‐ News release or news brief (as appropriate) -‐ Club newsletter (internal and external) -‐ Email updates -‐ Social media channels (Facebook, Twitter, blog) -‐ Spotlight on Club website -‐ Speak at board meetings, family nights and/or Club open house -‐ Share with BGCA and Sony to highlight on one of their digital channels
Getting Started: Individual Stories
-‐ Think about how youth are being impacted by the National Photography Program. Are there any stories that really stand out?
-‐ After you’ve identified individuals to highlight, start formulating customized questions to help tell their story. Tailor questions to the specific situation.
-‐ Interview your success story candidate(s). Keep it conversational, but focus on the issues you want to discuss. It’s okay to veer off your list of questions if you think it is relevant to the story.
-‐ Be careful of any personal sensitivity the individual may have. Background information sometimes makes for a great part of the story, but make sure the individual is comfortable sharing information beyond your Club.
-‐ After you conduct your interview, type up your notes and start drafting a story. There is no set limit on how long a story should be, but shoot for 500 – 1,000 words. Make sure you give a detailed picture of how the individual has been positively impacted as a result of the National Photography Program.

Photos A great way to demonstrate the impact of the grant is through photographs. Here are a few things to consider to help ensure you capture great photos:
-‐ Photos of youth participating in the Program: Capture photos of the youth participating in the National Photography Program. Be sure to keep an eye out for strong BGCA and Sony branding (i.e. signage, t-‐shirts, products, etc.) in the photos to ensure the photos represent the partnership well.

Using the Sony Logo Use the Sony logo to help promote the National Photography Program. However, be sure to use the logo in accordance with Sony’s logo guideline in all communications. You need to ensure there’s an isolation zone around the logo the size of the “S” in the Sony logo – leave ample space on all sides of the logo. Do not display any elements inside the isolation zone to keep the impact of the logo. Both versions of the logo are below.
