Oracle EBS data loading using appLOAD® at LifeWay Christian Resourcesby Austin Davis, Vice President of Marketing, Chain-Sys

LifeWay Christian Resources is a religious nonprofit organization and is an entity of the Southern Baptist

Convention. LifeWay produces Bibles, church literature, books, music, audio and video recordings, church

supplies and Internet services. The ministry operates 154 LifeWay Christian Stores across the country. LifeWay’s

home office is in Nashville, Tennessee, where about 1250 employees work.

LifeWay has successfully implemented Oracle EBS Financials, Projects, APC, Inventory, Purchasing, Order

Management and Advanced Pricing modules for its global operations. LifeWay is on version 11.5.10.2 and their

production database size is 1200 GB.

The Struggle with DataLoaderManual mass data loading/maintenance within

Oracle E-Business Suite can be tedious and very

time consuming. LifeWay utilized DataLoader

for performing data loading as an alternative to

manual methods. The DataLoader tool took a lot

of time and still could not provide a fool-proof and

robust solution. Amy Goolsby recalls that for about

1500 items loading it required constant monitoring

and took two weeks with eight computers in the

conference room. This time does not include the

data loader spread sheet preparation time.

How to Design a Chart of Accounts to Take Advantage of Oracle® E-Business Suite Release 12by Helene Abrams, CEO, eprentise

The chart of accounts (accounting flexfield) in Oracle E-Business Suite (EBS) is the basis for tracking and

reporting on the financial aspects of the business. A good chart of accounts (COA) provides structure

for managing business uniformly, facilitates compliance with local and statutory requirements, enhances

communication across all parts of the business, and provides flexibility for changes in the business. There are

five criteria for designing a good chart of accounts.

Criteria 1: One type of informationYour chart of accounts should have one (and only one) type of information in each segment. If the type of

information in a segment is not unique, the chart suffers from redundant information across segments, creating

potential inaccuracies during reporting. Keeping information types unique to a single segment eliminates

this type of mistake and solidifies the consistency of a company’s financial data. Additionally, it reduces the

maintenance of keeping information accurate in multiple places.

Criteria 2: Information not repeatedYour accounting flexfield should not repeat information that exists in other modules of EBS. All of the

information you need about transactions in those modules will be available to you in the subledgers.

Criteria 3: Enough room to expandDefine your segment lengths to be long enough to accommodate future growth. Running out of values in a

segment forces the same type of information to be carried in another segment or “doubling up” of a value,

resulting in reporting inaccuracies.

Criteria 4: Use logical rangesPut values for each segment into logical ranges. If you know the trends in your business, you can define an

appropriate number of characters for both a segment and the ranges it contains. Don’t hesitate to increase

the length of a segment to accommodate a larger range. Increasing segment length to accommodate growth

lets you build flexibility into the COA structure. Ranging your values logically promotes streamlined reporting,

budgeting, and maintenance. It enables you to minimize the number of cross-validation rules, security rules,

and Financial Statement Generator (FSG) report definitions by giving you the ability to define your rules and

reports by ranges as opposed to individual values.

Criteria 5: No reliance on spreadsheetsThere are two major issues with relying on spreadsheets for consolidation or reporting. The first is that there

are few controls in spreadsheets. Anyone can make a change to a spreadsheet. You also lose the drill-down and

roll-up capabilities that make your accounting transparent (and allow you to comply with IFRS requirements).

A global chart of accounts R12 introduces new features (secondary ledgers, ledger sets, and subledger

accounting) that allow for consistent global visibility and reporting but provide the

ability to have local control. Best practices include creating the original transaction in

the primary ledger and then using rules to automatically create or update the corresponding

transactions in secondary ledgers that are used for local and statutory reporting. Data is entered in

one place. A common global chart of accounts ensures that the data is entered consistently (in one place) and

that enterprise reports are accurate. The R12 Advanced Global Intercompany System requires an intercompany

segment in the chart of accounts. Combined, these features enable organizations to reduce the time spent

translating, compiling, reconciling, and consolidating financial data from disparate charts of accounts and

spreadsheets, shortening the time to close.

With a single chart of accounts, accounting policies are standardized across the entire enterprise and everyone

adheres to the same set of rules and definitions, increasing the level of enterprise governance and control

over new code combinations. When designing a global chart of accounts, one segment is commonly used for

localizations or analysis. Each country that is governed by different statutory requirements has a range within

the localization segment. Values in that range drive the accounting rules that create entries in the secondary

ledgers.

ConclusionIt is possible to change your chart of accounts or merge multiple charts of accounts into a single, global chart

without reimplementing. Get input on requirements from your stakeholders when creating a new chart of

accounts, and document the decisions and requirements to support all parts of the business. Then, design a

chart that gives you complete, consistent, and correct financial data, for now, and for the future.

Lesaffre Yeast Dives into Financial Details with Flexible Reporting by Chris Meyer, Director Americas, Excel4apps

Major yeast producer gains direct access to Oracle financial data via Excel-based GL Wand, improving reporting

efficiency and management support

Lesaffre Yeast Corporation and Red Star Yeast Company LLC (www.lsaf.com), a joint venture between Lesaffre

Yeast Corporation and Archer Daniels Midland Company Inc., produces yeast for a variety of applications

throughout North America. In 2004, Lesaffre installed the Process Manufacturing version of Oracle E-Business

Suite (OPM), which provided immediate business benefits, according to Michael Roach, Lesaffre Yeast’s controller.

Lesaffre’s Finance and Accounting group, though, soon found challenges in working with Oracle Financial

Statement Generator reports (FSGs). Roach’s team began searching for a tool to expedite financial reporting

while providing better access to detailed OPM data. “The Oracle system provided a backbone of data that

wasn’t previously available, but the key was being able to efficiently access, manipulate, and analyze this data

to help drive the business,” described Roach.

A quest for reporting efficiency For Finance and Accounting, building and modifying FSGs with the Oracle Applications Desktop Integrator (ADI)

was very time intensive. The team routinely spent more hours creating the financial reports, often in a trial and error

manner, than performing analysis. “To modify a report, you accessed a separate template and used code to enter

the information,” explained Jordan Lueck, senior accountant. “You then ran the report from Oracle, which took over

an hour, only to often find out it didn’t work. It took a whole day to run our monthly 100-page package.”

In addition to the laborious task of building and running reports, FSGs did not contain features that Finance

needed, like statistical quantities and dollar amounts on the same row. Also, drill-down functionality in Oracle’s

OPM version was limited. “You could access certain transaction details in Oracle or FSG reports, like drilling

into a sales invoice list,” said Roach, “but if we tried to drill into OPM module data, we got limited information.”

Finding the right tool In 2008, Lesaffre explored new reporting solutions, which led to a one-hour demonstration of GL Wand from

Excel4apps. Roach next opted for a one-month trial of the Excel-based reporting tool, which directly links

with live Oracle data. “After two or three hours of GL Wand training, finance and accounting users could build

reports and drill into live Oracle data via the Excel front end,” Roach described. “It was so easy compared with

FSGs, without the time required for coding.”

Lesaffre installed GL Wand in May 2008, although it did not yet have OPM drill-down capabilities. Working

together, the two companies put the functionality in place, plus additional features. “Within a few months, GL

Wand had the necessary OPM drill-down capability, along with drill-down for Oracle Trade Management on the

Accounts Receivable side, which basic Oracle didn’t have,” Roach said.

Financial reports in a flash After a quick conversion of all existing FSG reports to GL Wand, Lesaffre’s Finance group saw major efficiency

improvements. “It used to take an entire day to run our monthly report package, but with GL Wand it takes

about two hours, with each report taking around 15 minutes,” said Lueck. Also, the Excel front end allows us to

email reports, and the person requesting the report can modify it as necessary in Excel, which was impossible

with scans from ADI.

As required, statistical accounts and dollars appear on the same row in GL Wand

reports. Also, the Excel front end allows easy manipulation of data pulled directly

from Oracle. “I calculate variances in GL Wand using a workbook of 30 interrelated

worksheets that sums variances for our eight different business

channels on one page, and then lets us drill into details,” Roach

described. “It is invaluable having Oracle data in Excel.”

Another benefit is the ease of uploading business information from

GL Wand to Hyperion Financial Management (HFM) software, which

is used by Lesaffre’s parent company to view financial data from

its subsidiaries. “We spent a full day running a trial balance, then

cutting and pasting accounts together to create specific balances,”

said Noelle Wolter, senior accountant. “It now takes only an hour to

run a GL Wand report, check balances, and upload the data to HFM.”

Better business and management support While GL Wand easily met Lesaffre’s goal of more efficient reporting,

the software’s biggest impact has been in improved support of

business analytics and management requests.

“We get multiple ad-hoc report requests each day, and our eight

business channel managers are asking for more detailed, customized

reports to help them stay on budget,” described Lueck. “With GL Wand, it’s easy to modify an existing report

to provide the detail they want in 10 minutes, whereas it took days with FSGs.”

Lesaffre is pursuing more

comprehensive three- to five-year

strategic planning goals. Budget

information is entered in Oracle, and

GL Wand lets Finance retrieve and

compare it with actual performance.

“Our reports now hone in on

variances as we compare the current

three-year plan with a previous one,

breaking down variances by volume,

price, manufacturing costs, etc.,”

Roach explained. “We spend our

time analyzing variances, not retrieving Oracle data. This fast access to accurate information is critical to our

top management and business performance and planning.”

A Primer on Oracle E-Business Suite R12 Reporting Optionsby Gustavo González and Tom McGrath, IT Convergence

You’ve got your Oracle E-Business Suite (EBS) up and running; the bugs have been worked out. Now all you

need to do is report on its data. As every IT professional knows, your Oracle E-Business Suite investment is only

as strong as the reporting solution backing it up. While meeting your organization’s reporting needs is never

easy, EBS users have a wealth of options to choose from, including BI Publisher (formerly XML Publisher),

Noetix Views, Discoverer, Noetix Platform, Noetix Answers, Noetix Generator and OBIEE.

The standard BI Publisher is best used for operational reporting, including printing checks, labels, invoices,

purchase orders, financial reports and government forms. Microsoft Office creates and edits templates, but they

do require some technical knowledge. BI Publisher reports in almost any format and any way desired. In Oracle

R12, BI Publisher builds many of the Standard Operational Reports. In the version of BI Publisher included with

E-Business Suite, the XML output delivers the data from Oracle Reports and Financial Statement Generator

Reports. In the OBIEE version of BI Publisher, however, Analysis ad-hoc queries deliver the data in addition to

many other data sources. The standard BI Publisher can only report on Oracle Standard Reports and FSG’s.

Another reporting option is Oracle Discoverer, an ad-hoc query, reporting, data analysis, and web-publishing

tool. It’s a more basic tool that many businesses rely on, but Discoverer does not create dashboards and there

are no pre-built reports, nor automated alerts. There is an option for businesses that are interested in quickly

migrating their reports from Discoverer to OBIEE: use the migration utility which converts the end-user layer

(EUL) within Discoverer and packages the reports into an OBIEE Metadata Repository.

Noetix Views© are useful as they create an end-user layer within BI Discoverer or views for other reporting

tools including OBIEE, reducing the implementation time of transactional reporting. Noetix Views© reduce

the up-front learning curve for new users as the Oracle Tables can be quite complex. Another benefit is that

Noetix guarantees that the Views will never break because Noetix will provide view updates for each version

of Oracle E-Business Suite.

Noetix Platform is an ad-hoc querying tool that allows users to view and publish reports from their web

browser. Noetix Platform includes Noetix Web Query which is a browser-based ad-hoc querying tool.

Noetix Answers is the powerhouse of reports that Noetix provides to answer hundreds of common business

questions without the need for extensive development. It is what allows standard reports to be created into

Noetix Platform. It allows end -users to access these pre-built reports to provide simple solutions to everyday

tasks without the need for IT intervention.

Finally, and probably the most discussed solution is OBIEE. OBIEE delivers all of the functionalities of the other

reporting tools but has built-in dashboards as well. However, the truth is that no reporting solution fits all. The

best reporting solution for an organization depends on its reporting needs. Organizations large enough to

use the Oracle E-Business Suite typically require some type of ad-hoc reporting capability if not a complete

Business Intelligence environment. What tools they need and are able to implement will depend on various

factors including: budget, timeline, available technical resources, etc.

Project Partners has been helping clients plan for Release 12 of Oracle Applications since 2008 and first presented

In the R12.1 point releases, Oracle has provided new functionality within the Projects Suite, making the upgrade

more attractive to project-centric organizations in areas like:

• SubcontractorManagement.

• ChangeManagement.

• ContingentWorkerenhancements.

• ProjectBillingenhancements.

The changes in the User Interface and core Financial Applications make Release 12 different from the usual

upgrade. In R12 the modules with the most users have also seen the most changes, making for significant

impact on users of the following applications:

• Procurement.

• Reportingtools.

Upgrade or Re-ImplementationRe-implementation is a major commitment of time and resources. If the current Oracle instance leverages

standard functionality, is current on patches and your data is clean, Oracle’s guided upgrade path will move

you to R12 in an orderly manner. You may, however, need to re-implement if any of the following are true.

longer than ever before.

upgrade will make things much smoother.

• MakesureyourapplicationshavealltherecommendedOraclepatchesappliedbeforeyouupgrade.

• WithRelease12youwillconvertthedatainyourdatabase,andbecausethistakestimeyouwantto

minimize the amount of data converted.

• AftermappingR12functionalitytoyourorganization,youmayidentifybusinessprocesschangesthatwill

enable your firm to take full advantage of new features. Making these changes in advance will simplify the

upgrade process.

• Otheruniqueitemsyouidentifiedduringtheplanningandassessmentphase.

• Identifywhereyouhaveenoughin-houseresourcestocompletethework,andbepreparedtosupplement
