There are usually two boxes that appearthis applies to both. 3 Enter Your PIN for your CAC If you havent already set up a DCO Account you will need to register. (click [Register]) Click [Login] Login using CAC (registered user) First time user must register first. 4 1. Create new meeting. Click Create New Meeting. 5 a./b. i. e./f./g. c. 2. Enter meeting details: a. Meeting name can be the same as the URL. b. The meeting URL identifier has to be alphanumericmake it obvious/meaningful. c. Enter a short summary of the meetings purpose. d. Leave Use Template as None. e. Select meeting date by clicking calendar icon, then select date. f. Time of meeting start. You can highlight numbers and change or click up/down in 15 minute increments. g. Duration of meeting in hours. You can highlight number and change or click up/down in 15 minute increments. h. Leave Persistence ON. i. If you want to invite participants, who must be registered in DCO, click Invite Users. j. If you are not inviting users who are registered at DCO, click FINISH, and your meeting setup is complete. 6 3. Add invitees. To add invitees, type last, first name, then click GO. Only DCO registered names will appear from your search. 7 4. Select Invitee: a. Once the results return, select the correct name by clicking the box next to the name, then click add. b. Non-registered invitees can enter without the host granting access, but can be given the role of presenter once in the meeting. 8 4. Select Invitee c. You have added one participant. 9 5. Change participant role. a. To change a role select the participant by clicking the box next to the name. You can change more than one person to the same role at the same time. 10 5. Change participant role. b. Click drop-down box to see role choices. 11 5. Change participant role. c. Select the participant role. Click selection and the role will change. 12 5. Change participant role. d. Participant role has been changed. 13 6. Setup complete. If you are satisfied with the meeting setup, click Finish. 14 7.Host created meeting. a. Prior to meeting send URL to all inviteescopy the text and paste in your. b. Click My Meetings to return to main meeting menu. 15 8. Edit any changes you want to make. f. You cannot change Meeting Name or URL identifier. g. You can change date or time, or invite more users. h. Click Finish when complete. Or put them in a folder on your desktop. DCO Registered participant, who does not require permission to enter the meeting, shows up with registeredname. Enter the meeting you selected. c. A non-registered guest is about to enter the meeting by typing a name and clicking Enter Room. The guest must receive permission by the host to enter. The guest may have a password as a DCO registered personthis person would select the password radio button to gain access. Enter the meeting you selected. d. Until the host grants the request the guest must wait. Enter the meeting you selected. e. The host should click Accept to allow the non-registered guest to enter. Enter the meeting you selected. f. The host has granted permission for the guest to enter. Enter the meeting you selected. g. To change the guests role, left click the name. Enter the meeting you selected. h. To change the guests role, left click the name. Note the participant icon types. i. Click the set role icon to chose the role to assign. Enter the meeting you selected. j. Share documentclick Documents arrow. This will allow you to go to your computer drive and directly open a document--it will open in the large window. This is good during a meeting while at your deskthe entire file is exposed for sharing. Meeting share option. b. Click the source where your file is locatedin this case click Select From My Computer. Meeting share option. c. Your document is being shared. Use arrows to navigate the slides. Meeting share option. d. When finished with the presentation, click Stop Sharing, and go back the sharing options screen. Meeting share option. e. You are now ready to for a different share option. Meeting share option. f. Share documentclick Documents arrow. This will allow you to go to open a file from thee content you added during meeting setup/edit. this is good during a meeting while at your deskthe entire file is exposed for sharing. Document now open. Use arrows to navigate the slides. Meeting share option. j. Share your desktopclick My computer screen. Meeting share option. k. Share the file by going to your desktop and opening the file you want to share. l. It is advisable you open the file you want to share BEFORE you choose to share your desktop. Sharing desktop allows you to edit on the fly. m. You should close non-essential applications like Outlook, to avoid new mail pop-up. n. If you have several slides you can open them all and minimize each one and select as you need. o. Alternatively you can put them in a folder on your desktop, leave the folder open and select each file as you need it. p. Below is an example of sharing a file open in your desktop in full projection mode. Other share options (Persistent Meeting). Adobe Acrobat Window will open. Or Select Applications (preferred but recognize that they ONLY see the applications that you allow. If you have another window open on top of the window that they are viewing, they will see a checkerboard pattern. They can only see applications on your Primary Monitor. Only MS Office Applications can be shared (powerpoint, word) Select Windows (not recommended this is cumbersome) Using DCO meeting features.(Persistent) Meeting). To stop sharing an application, Click [Stop Sharing] Or Click [Stop Sharing] 48 If you use a Primary and Secondary Monitor, you can choose to show them either screen. This is particularly useful if you are in a meeting, have PowerPoint Notes up on your Primary Monitor and showing the audience your Second Monitor. Possible Error Note that Participants May Get. Non-DoD participants can get an error that Certificate is Invalid. They can either choose to ignore it, or download the DoD Root Certificate. This may or may not solve the issue. See next page for Internet Explorer changes that allow access via VPN connection. Using DCO outside DLA firewall considerations. a. The Certificate or "ignore" the certificate (step 16 above) doesn't really work on DLA laptops. There is a setting on the DLA laptops that is set every time you plug it into the DLA LAN that must be changed in order to access DCO from outside the DLA firewall. The situation MAY affect other laptops as well. It's a two step process in Internet Explorer browser toolbar: 1)Internet Options--Tools--Advanced--Security--Check for server certificate revocation (this must be unchecked). See next slide for screen-shot. 2) After you make the change, the browser must be closed and re-opened before connecting to DCO. This is a temporary change. As soon as you connect to DLA LAN it will be reset, so this change must be made whenever you are attempting to connect from a remote site to DCO. b. Non DCO registered users can access the meeting you share with just the meeting URL, and are plainly participants.
